    The Opportunity


    MCW is seeking an enthusiastic Proposal Coordinator to join our Toronto office. Reporting to the Business Development Leader and working closely with Partners, Engineers, and Project Managers, this role is ideal for a motivated self-starter with strong organizational and communication skills. You will play a key role in supporting initiatives and coordinating proposal development for projects in the Greater Toronto Area. This is a full-time permanent position.

    Responsibilities

    • Work closely with the leadership team to develop, prepare, format, and assemble responses to RFQ/RFP documents.
    • Develop strong internal relationships to help ensure timely and effective responses to requests.
    • Ensure compliance with RFP/RFQ instructions, deadlines, and standards.
    • Manage production, packaging, and timely delivery of submissions.
    • Research and review new project opportunities, including monitoring bid sites (eg. Merx, Biddingo etc), and lead Go/No Go evaluation process.
    • Assist with maintenance of corporate proposal content library.
    • Maintain proposal workload tracker, CRM, and long-lead pipeline databases.
    • Organize electronic filing systems for easy access to business documentation.
    • Perform document management tasks (filing, copying, PDF conversion).

    Skills, Education & Experience

    • Degree or diploma in marketing, communications, or related discipline.
    • Minimum 2-5 years of experience in a similar role within Architecture, Engineering or Construction industry experience is an asset.
    • 2-5 years of experience in marketing, communications, or proposal coordination.
    • Strong background in document preparation and quality assurance.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
    • Proficiency in Microsoft Project is considered an asset.
    • Excellent written and verbal communication skills.
    • Highly organized, detail-oriented, and able to manage multiple projects under tight deadlines.
    • Problem solver who excels working in a collaborative, team environment.
    • Ability to take full ownership of proposals while working independently and proactively addressing issues.
