GENERAL ACCOUNTABILITIES


Reporting to the Manager, People and Culture, the People and Culture Generalist is responsible for implementing policies and practices that meet our vision, recruitment processes, and the administration and maintenance of labour and employee relations.


RESPONSIBILITIES

Employee Life Cycle Management:
(25%)

  • Coach and support managers and supervisors on effective interviewing techniques and update interviewing standard operating procedures as necessary.
  • Work crossfunctionally with various departments on HR matters that affect payroll (e.g., new employee documentation, benefits, ROEs, etc.).
  • Conducts regular checkins with new personnel who are in the first three months of employment with the organization.
  • Oversee offboarding procedures for employees leaving the organization.
  • Provide accurate data and updates to various stakeholders for related activities in the employee lifecycle including those related to recruitment, preemployment due diligence, onboarding, performance, offboarding, and payroll to ensure processes run effectively.
  • Coordinate employee performance programs in adherence to Dixon Hall's established calendar.
  • Assist fullcycle recruitment and selection activities for all vacancies and assist managers where needed
  • Support new hire orientation and onboarding process to collect all data required for new hires and communicate first day instructions within the assigned portfolio and in accordance with the Collective Agreement.
Employee and Labour Relations (25%)

  • Support and participate in employee & labour relations strategic projects.
  • Represent the agency in investigations and disciplinary meetings as needed.
  • Provide functional Human Resources support to employees.
  • Assist in the grievance process with Union partners; support mediation, arbitration, Labour Management Committees and workplace investigations with guidance from the Manager of People and Culture.
  • Advise and assist departmental managers and employees on the interpretation and administration of the collective agreement, organizational policies and programs, ensuring compliance with policies and employment legislation;
Benefits Administration (15%)

  • Manage and administer benefits and RRSP plans including enrolling new plan members, processing plan members changes, removing plan members.
  • Update payroll records as it pertains to members' changes.
  • Provide support regarding benefits inquiries from staff and resolving issues as they arise.
  • Process benefits reimbursements for eligible staff.
  • Issue monthly cheque requisitions for benefits billings and remittances.
HR Administration & Compliance (25%)

  • Process changes on the HRIS
  • Assist in the development and implementation of new policies and procedures.
  • Liaise with other staff (payroll, benefits etc.) to ensure policies and procedures have been carried out.
  • Maintain effective communication within the People and Culture team to provide information and updates.
  • Respond to employees and management inquiries related to a variety inquiries and requests.
  • Attend and participate in weekly People and Culture team meetings.
  • Prepare confidential documents and related paperwork (e.g., position change letters, salary increase letters, confirmation of employment letters, disciplinary letters etc.).
  • Upload documents to employee records and ensure all documentation is updated and maintained as per legislative requirements.
  • Provide support for the organization's equity, diversity and inclusion strategy, including managing external training vendors and internal education sessions.
  • Coordinate with departmental managers and supervisors to manage WSIB claims, return to work programs and leave of absence procedures.
  • Drive employee engagement insight initiatives, including creating and executing employee surveys and compiling and presenting results.
  • Generate reports for the Manager, People & Culture, management, or the leadership team, to enable management decisionmaking.
  • Participate as a People and Culture representative on various organization wide committees.
