Are you passionate, ambitious, and hardworking with great Administration and office support experience? Hybrid Infusions is seeking an Administrative Assistant to support day-to-day administration of facility operations.
Position Description
The Administrative Assistant reports to the Operations Manager, and helps ensure that information and documentation is well organized and departments have the critical supplies and information needed to succeed.
The Administrative Assistant will support all team members and should have experience in a supervisor role with skills such as delegation, communication, and scheduling.
The Operations team supports all aspects of day-to-day business and facility operations by being helpful, dynamic, and enthusiastic The ideal Administrative Assistant will handle confidential information in a responsible and accurate manner and loves to engage and collaborate with a team to help foster a culture of fun and excellenceResponsibilities:
- Assist in day to day operations of the facility by supporting core management team.
- Learn and maintain knowledge of all applicable cannabis legislation with respect to reporting, training, and employment.
- Prepare agendas, take detailed notes, review, and organize materials for meetings as required.
- Coordinate necessary reporting and documentation with legislators and partners (e.g. legal, financial, real estate, insurance).
- Support Operations Manager, CEO and COO with daytoday tasks and administration.
- Support administration team members as needed.
- Screen and direct incoming calls, guests, and mail.
- Place and track orders as requested.
- Assist with the retention and communication of supply chain documentation including shipping and receiving documentation.
- Run errands or pickups as needed.
- Assist supervisors and managers with scheduling, communications, and associated tasks.
Skill Requirements
- Proficiency in Microsoft 365 and intermediate excel skills.
- Excellent communication and interpersonal skills.
- Exceptional written and verbal communication skills.
- The ability to adapt, focus and work with mínimal supervision
Experience Requirements
- Experience in a team support position.
- Experience as a supervisor or manager considered an asset.
- Experience in cannabis, supply chain, facility operations, considered an asset.
Educational Requirements
Bachelor's degree and/or 2 year college certificate or diploma in business administration, management, organizational behavior, human resources, operations management or related field considered an asset.
Physical Demands
- Able to sit for long periods of time.
- PPE may be required to enter some facility areas including but not limited to: clean clothing covers, mask, hair cover, hearing protection, eye protection.
- Able to engage with a computer screen for long periods of time.
- Comfortable working in an access controlled environment, and able to follow contamination prevention procedures and regulations required of all employees in the facility.
- All guests and employees must be fully vaccinated against COVID19 before entering the facility.
Salary:
$20.00-$25.00 per hour
