Description

The Lead Property Specialist is a critical role of our team and is responsible for supporting the Property Management team and oversee day to day operations.

It will be the responsibility of the Lead Property Specialist to help in coordinating, directing, and planning everyday business operations.

As the Lead Property Specialist, you will be responsible for day-to-day communications with existing tenants and clients and work to build relationships with our clients.


Time Requirement:
Full-time, Monday - Friday, 9:00am - 5:00pm

Operational Responsibilities

  • Acting as the first point of contact for any visitor entering the office, from vendor to client.
  • Owning the space and ensuring that it is kept tidy and operational
  • Ensuring that necessary work orders are completed as required.
  • Take full operational responsibility for assigned portfolio.
  • Embody core values and foster a family environment amongst coworkers.
  • Manage the development of all new business and demonstrate an entrepreneurial approach to introducing new revenue streams.
  • Plan, coordinate, and oversee tenant arrival, departure, and turnover.
  • Organizing and distributing mail within the team
  • Sending out packages as required
  • Maintaining positive rapport with all guests.
  • To monitor real estate performance against agreed criteria and adhere to weekly and monthly reporting requirements.
  • Document all tenant communication in management program.
  • Gaining an understanding for the various systems and platforms utilized by the team.
  • To manage the planning, review, and implementation of refurbishment programs, planned maintenance, and periodic furniture replacement/renewal programs.
  • To consult regularly and provide information to tenant and other key stakeholders on building contracts or refurbishment programs.
  • To liaise with any contractors working in or around the property.
  • To review tenancy documentation for accuracy.
  • To oversee the provision of a firstclass customer experience, ensuring that all enquiries, correspondence, or complaints are dealt with quickly and effectively.
  • To be oncall and respond to emergencies as required.
  • Representing Portsmouth Residential Inc. within the community developing positive working relationship with key stakeholders
  • To monitor and regularly review the performance of staff teams, helping them to constantly improve performance
  • To actively find and sell new clients on property management opportunities.
  • Always working as part of a team, and being able to take direction from coworkers.
  • To liaise with the public and other external stakeholders on behalf of Portsmouth Residential Inc.
  • Maintain maximum occupancy rates for our clients and an accurate account for property occupancy rates,
  • Perform other tasks as assigned by the reporting manager.
Financial Responsibilities

  • Prepare cheques for signature and record payments in management software.
  • To take prompt action to recover rent arrears or other payments, taking legal action where necessary.
  • Report on a monthly basis as regards overdue accounts.
  • Prepare and issue N4 Notices to nonpaying residents.
  • To assist in the preparation of budgets on an annual basis and working with the Finance team on periodic reforecasting.
  • To ensure that all invoices are processed in good time, using correct expense categories.
  • To charge residents for any damage to property.
  • To serve notices of rent (or other) changes on time.
