We are currently searching for

a Receptionist to join our team. This is a full-time shift position at our Schonsee location.


Position Summary:

The Receptionist is responsible for a wide variety of clerical office duties in support of the administration department.

This includes coordinating and communicating building activities (including resident outings and activities), monitoring front entryway to greet and screen residents and visitors entering and leaving, answering and referring inbound telephone calls, and scheduling appointments.

Tracks, updates and/or reconciles other records and information as required or as assigned. Provides backup support to and takes guidance as required from Site Administrator. This position also supports the recreation department planning, implementing, documenting, and evaluating of goal orientated recreation and leisure programs.

What You Bring to the Role:

  • High school diploma or GED, or an equivalent combination of education and experience required.
  • Two (2) years of direct work experience in a receptionist or administrative capacity required.
  • Proficient computer skills and strong knowledge of Microsoft Office suite, including Outlook, Word and Excel required.
  • Strong written and verbal English skills to effectively communicate with all residents, visitors and at all levels within the organization required.
  • Prior work experience/demonstrated skills to work with seniors and their families is an asset.
  • Superior telephone skills and manners plus strong interpersonal and rapportbuilding skills.
  • Meticulous records management skills.
  • General mathematical skills.

Your Responsibilities:


  • Provides administrative support to all site departments while ensuring front desk area is staffed at all times.
  • Courteously receives and screens all inbound calls, directing them to the appropriate recipient in a timely and professional manner.
  • Greets incoming and outgoing persons from the front lobby and ensures proper sign in/out procedures and screenings are completed.
  • Completes and reviews front desk floats and balance reports, invoices, and other relevant monetary documents and submits to Site Administrator.
  • Performs basic bookkeeping functions for financial transactions such as bus tickets, collecting resident activity/outing fees, tuck shop purchases, dining room meal cards, and/or laundry (as applicable).
  • Completes daily balancing of cash and transactions; submits detailed financial records by due date(s).
  • Coordination of maintenance and housekeeping requests and entering work orders into Yardi
  • Provide input for program development and takes part in scheduling of monthly calendars, outings, and special events.
  • Organize and prepare materials needed for upcoming programs.
  • Communicate feedback and observations from residents, family members, and interdisciplinary team members in regard to resident progress, leisure interests, programs development and evaluation and any other related areas.
  • Work Collaboratively with the Recreation Therapy team along with other interdisciplinary team members
  • Complete related administrative work such as daily intervention statistics, resident chart documentation, and various other administration work
  • Set up and facilitate virtual video calls between loved ones and residents
