Your Opportunity

We are currently seeking an Executive Assistant to support our Board as well as our Chief Risk Officer and own the following responsibilities:

  • With respect to the Board:
  • Manage all meeting logistics for Board and Board meetings, including scheduling all meetings throughout the year, booking meeting rooms, IT support, and arranging for travel and accommodations for all Board members.
  • Draft correspondence, presentations, and reports.
  • Preparation and electronic distribution/posting of agendas, minutes, and related documents in advance of Board and Board meetings throughout the year.
  • Work with the Board Chair and Committee Chairs in the preparation of the agendas for each Board and Board meeting.
  • Maintain Board materials in a confidential manner.
  • Provide administrative support to the Board Secretary, where required.
  • Communicate directly with Board members, the CEO, or any member of the Executive Leadership or Senior Leadership teams, as required.
  • Provide ad hoc support to the Committee Chairs and other Board members for Boardrelated matters.
  • Supporting the work required to update Board policies.
  • Provide logístical support for annual Board retreats, as well as prepare and coordinate retreat materials and arrangements for associated events.
  • Work closely with the Strategic Execution Office and Corporate Communications Team with respect to organizing and executing on the Annual General Meeting.
  • Maintenance of electronic file folders; and
  • Lead on and offboarding procedures for Board members and support ongoing training initiatives.
  • With respect to the Chief Risk Officer:
  • Support the CRO daily with a complex portfolio and operate at various levels within a fast paced, deadline-sensitive and team-oriented environment. This position is privy to sensitive and confidential matters and so a high level of professionalism is required.
  • Maintain timelines and action plans
  • Preparing, reviewing, and processing documents with followup to ensure that documents have been filed properly and on time
  • Prepare creative presentations in PowerPoint and other software programs that utilize photos, videos, audio material and other visual assets as necessary for the Risk Team.
  • Maintain electronic filing and risk management document systems
  • Respond efficiently to inquiries and requests, prioritizing work based on level of urgency, and communicating timing expectations
  • Handle sensitive/confidential Firm information while minimizing risk.

  • You have the ability to manage various priorities and projects simultaneously in a fastmoving environment. Attention to detail is essential.
  • You are techsavvy while being very comfortable learning and using current and new technology solutions and platforms to enhance efficiency with the ability to problem solve minor technical issues independently.
  • You demonstrate an inquisitive, positive, and helpful attitude, and can easily collaborate with internal and external stakeholders.
  • You have strong problemsolving skills with the ability to clearly identify and define problems and develop solutions.
  • You have excellent written and verbal communication and have the ability to build and maintain strong relationships.
  • You are able to maintain confidentiality in relationships and communications with all internal and external stakeholders.
  • You have excellent PowerPoint and Excel skills.
  • You have at least 3+ years' experience working with a Board of Directors, and at least 5+ years' experience in an Executive Assistant role.
