Hours:

The incumbent will be expected to work part-time (24 hours per week), and full-time from May to November season.


Job Summary


Reporting to the Business Development and Events Coordinator at Markham Museum, the Communications Assistant is an exceptional team player responsible for coordinating the production, distribution and collection of information about Markham Museum to the media, members, volunteers and the general public.

This is accomplished through the production of printed material, online communications, advertisements and announcements for exhibitions, public programs and events.

The Communications Assistant is responsible for coordinating and maintaining media relations for Markham Museum as well as coordinating the production of printed and electronic material including website and social media.

Working closely with all staff at Markham Museum, the Communications Assistant regularly collaborates with the Corporate Communications, Community Engagement and other departments.


Job Duties including but not limited to:

  • Coordinates the overall editorial, production and distribution of the newsletters from start to finish
  • Acts as liaison with the media and provides all necessary information and assistance
  • Prepares, designs and coordinates all publicity and promotional materials related to special events, invitations, newsletter material and signage
  • Maintains and administers an up to date database of media contacts and elists
  • Contributes to the design and implementation of the marketing plan
  • Negotiates and supervises the production of ads and flyers for programs
  • Maintains the currency and style of our Instagram account and contribute to the planning and direction of the Web site, ensuring consistency and currency and performing updates (ongoing)
  • Designs promotional material on interpretive and educational programs
  • Maintains and manages Markham Museum social media accounts for Facebook, Twitter and Instagram
  • Maintains accurate photographic records of exhibitions, events and programs
  • Assist with the implementation and management of online advertisement campaigns.
  • Collaborate with other functions to manage reputation, identify key players and coordinate actions.
  • Actively utilize social media listening tools to monitor online conversations, trends, levels of engagement, reach and traction for multiple clients
  • Ensure that brand represented authentically online.
  • Contributes to overall staff efforts towards the development of new audiences
  • Assist with coordinating event Logistics such as timing for activities during the day of the event.
  • Ability to multitask, working on details for more than one event at a time.
  • Vendor management on the day of the event and organization of files prior to event
  • Support coordination of vendor requirements as per the bylaw exemption with the City of Markham.
  • Conflict resolution and management on the day of the event
  • Assist with gathering sponsorship from local partners.
  • Create content for articles, website, online calendar posting and social media (see social media responsibilities).
  • Implement best practices and standards in guest services at special events.
  • Maintain and manage event databases, timelines and files, shipping/transport of event related supplies.
  • Obtain quotes and contact information for supplies that are required for the event, and place order(s) for the event
  • Other duties as assigned

Qualifications

  • A Postsecondary degree in Visual/Media Arts, Marketing, Recreation or Communications Studies, Journalism or related degree.
  • Minimum twoyear previous experience in the field of communications.
  • Excellent oral and written communication skills; very strong knowledge of English language required; French language is an asset
  • Excellent computer skills; knowledge of social media and basic knowledge of Web site development required;
  • Familiarity with Adobe Design Suite, particularly Illustrator and In Design along with ability to execute basic graphic design
  • Demonstrated organizational skills and ability to multitask; attention to detail essential
