Description:


  • Reporting to the Coordinator of Continuing Education, the Administrative Technician performs technical and clerical tasks to support the planning, development, administration, evaluation and scheduling of programs under the responsibility of Continuing Education. The Technician is also responsible for the tracking of financial, material and physical resources, and supports communication activities related to students and teachers.
  • More specifically, but not limited to, the Administrative Technician:
  • Produces and keeps up to date the master course offerings, course schedules, course outlines (extraction from systems);
  • Is responsible for the technical tasks and processing paperwork related to hiring and purchasing;
  • Oversees and tracks proper use of budgets for guest speakers and service contracts, etc.;
  • Produces necessary correspondence and reports including semester schedules, communication with greater Continuing Education team and Registrar's Office and faculty, as appropriate;
  • Assists in the registration, as needed, and provides support to AECs programs, as needed;
  • Participates in promotional events;
  • Updates and ensures the accuracy of fulltime Emploi-Québec students enrolled in AEC programs;
  • Performs technical and clerical duties related to Fieldwork, stages, etc.;
  • Is responsible for the filing system / O-Drive organization and upkeep;
  • Other tasks as required by the Coordinator of Continuing Education, as needed.
Other related tasks which fall within the scope of the classification of this position may be assigned.

    Requirements:
  • Qualifications:
  • DEC in Business Administration with an appropriate specialty or a DEC in Office Systems with an appropriate specialty, or a diploma or attestation of studies which is recognized as equivalent.

Conditions related to the specific position:

  • Excellent English oral and written communication skills (to be tested);
  • Strong French oral and written communication skills (to be tested);
  • Understanding of the postsecondary education system, an asset;
  • Ability to manage and prioritize tasks in a fastpaced, changing environment;
  • Ability to collaborate with colleagues and to work as part of a team;
  • Strong organization and human relations skills;
  • Intermediate knowledge of Microsoft Word and Excel (to be tested);
  • Advanced digital competencies, including working with TEAMS and Zoom;
  • Advanced data management competencies, given appropriate training;
  • Computer knowledge of Clara, given appropriate training;
  • Ability in a third language, an asset.
