Duties and Responsibilities:

This position is associated with administrative duties in our new Advanced Research and Innovation in Smart Environment (ARISE) building.

The incumbent has two primary responsibilities:
(1) Coordination of ARISE partnerships and physical space (2) Administration of logistics for programs and events offered through IPS/OVPRI.


ARISE is a partnership engagement opportunity to support the building of external partnerships by, in part, providing physical space in the building, in conjunction with Carleton faculty.

In keeping with our metrics for the Strategic Mandate Agreement with the Province we anticipate growing significantly industry investment in research on campus.

The ARISE Administrator will be part of the Associate Vice-President, Strategic Initiatives and Operations team.

While the reporting is through the Director of IPS, the position is expected to liaise with the AVP and OVPRI on an ongoing basis.


The incumbent is responsible for:

  • Coordination of logistics for the buildings occupants including access to Carleton systems, access to space, keys and supporting functions (including wayfinding systems and onscreen technology).
  • Administration of logistics for industryoriented programs. For example, researchers and partners will conduct site visits, workshops and events on site.
  • Assist with events related logistics. For example, work with conference services to secure space, setup, A/V, etc.


This is a position that often demands quick turnaround times and significant initiative and independence in carrying out project work.

Attendance at evening events requires the incumbent to be flexible with working hours.

In addition, the incumbent must have excellent multicultural communication skills - both verbal and written. A solid background in coordinating multiple activities while ensuring quality of the highest standard.


Qualifications:


The incumbent must possess the following qualifications:

  • Ability to work with the community
  • Outstanding interpersonal and organizational skills with an emphasis on multicultural communication skills. Ability to prioritize tasks, meet deadlines and manage multiple projects simultaneously
  • Detail oriented, resourceful, innovative, flexible, accessible
  • Exceptional communication and problem solving skills
  • Proven capacity to excel in an independent work environment
  • Experience in working with various sectors of the University and community
  • Basic knowledge of Microsoft Office, Adobe Suite
  • Knowledge (or develop knowledge) of Carleton IT systems e.g. eshop, booking portal, etc.
  • Attendance at evening events requires the incumbent to be flexible with working hours.

Education and Experience:

The above is normally acquired through the completion of:

  • Degree from an accredited university.
  • Three or more years' related administrative and event coordination experience.
