Reporting to the Director of Finance, IJM is seeking an organized and detail-oriented
Coordinator, Finance and Administration to support the financial and administrative functions of the organization.

The Coordinator is responsible for entering, maintaining and ensuring the integrity of records in Salesforce as well as processing gifts, accounts payable transactions and supporting the finance department with monthly reconciliations while also overseeing the effective operation of the Mississauga Office.

This is a full-time position. IJM offers a competitive compensation package which includes 3 weeks of paid vacation, benefits and a matching RRSP program.


Main Responsibilities/Duties:

Gift Processing

  • Support for offline gift processing including mail batches, monthly Paypal, Square, and Dressember.
  • Receiving and entering all donation information from Stripe, cheques, and preauthorized debit (PAD) into the relevant database, including scanning and attaching original documentation for monthly supporters.
  • Facilitating recurring donations via credit card and PAD and followingup with exceptions (declined, expired); facilitating gifts in honour/memory of individuals, and facilitating company matching gifts.
  • Daily monitoring of and clearing of Integration Logs, running Job Requests and checking Stripe account for data integrity.
  • Review and repair donation reports prior to Finance department reconciliation. Make further adjustments to the reports based on queries from Finance. (monthly reconciliation of bank statements to SF).
  • Recommend new processes and procedures to create efficiencies within gift processing and management
Financial Administrative Support

  • Collaborating with the Director of Finance to reconcile monthly Salesforce donation information with accounting software.
  • Ensuring expenses are properly recorded and reconciled.
  • The accurate and timely payment of invoices, staff reimbursements and credit cards.
  • Monthly reconciliation of corporate credit cards.
  • Supports vendor management and compliance with all vendor procedures.
  • Preparation of T4A, T4-NR and other tax documents.
  • Assist the Director of Finance with ad hoc requests during annual financial audit.
Office Administration

  • Point of contact for property management and administrative vendors and manage the inventory of office supplies.
  • Primary responsibility for all incoming phone calls, and appropriately welcome guests to the IJM Canada office.
  • Support the safe and normal functioning of the office facilities including acting as the Health and Safety Representative for the organization and ensure that the organization maintains all requirements for a safe work environment.
  • Provides logístical support to board or all staff meetings.

Qualifications/Requirements:


  • Post secondary degree or diploma with at least 23 years of professional experience in data management and financial administration or bookkeeping
  • Prior experience using a fundraising or sales related CRM is required; Salesforce preferred
  • Prior experience with financial management software is required ; QuickBooks preferred.
  • Demonstrated ability to manage and maintain accurate data.
  • Maintain confidentiality and handle sensitive information with discretion
  • Conversant in MS Office
