JOB SUMMARY:

Under the direct supervision of the Facilities Management Services logistics manager to perform various administrative tasks pertinent to the operations of the print room.


DUTIES AND RESPONSIBILITIES:


  • Provide printing assistance to faculty, students, staff and external customers
  • Create Annual Blanket orders and Inventory reports
  • Prepare quotations and invoices for internal and external clients
  • Maintain a filing system
  • Update and maintain: print room policies and procedures, inventories, cost reports and revenues
  • Responsible for cash float and deposits
  • Prepare requisitions for office and printing supplies, verify pricing, prepare and place orders
  • Prepare and submit employee absentees, overtime and student/occasional tepa
  • Responsible to order, label and distribute printing cartridge for the College
  • Followup and ensure the jobs are delivered on time and the clients are satisfied with the service provided
  • Assist with equipment purchases, tender documents, contract administration, and invoice review for thirdparty service providers
  • Assist in production when needed
  • Perform any other related tasks as may be assigned by the Facilities Management Services Logistics Manager.

QUALIFICATIONS:


Education:


To have a secondary school diploma or a diploma of vocational studies in an appropriate specialty or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.


Specific Requirements:


  • 1 year of experience in customer service
  • Advanced English oral and written
  • Intermediate French oral, written comprehension and written production
  • Knowledge of office management systems and procedures
  • Knowledge of accounting software Clara, Fleet Management and Printsys is an asset
  • Working knowledge of office equipment, ie. printers and fax machines
  • MS Office (MS Excel and MS Word)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Strong organizational skills with the ability to multitask

Testing may be required to demonstrate knowledge of:

  • English
  • advanced oral and written
  • French intermediate oral, written comprehension and written production
  • Word (intermediate)
  • Excel (intermediate)
