Primary Purpose

Job Role
The Registration Assistant will report directly to the Associate Director, Student Services/Registrar.

The purpose of this role is to support the monitoring, collection, and documentation of enrolment, registration, and program completion processes at CCTB.

This position also supports administrative coverage of the front desk for evening classes.


As this is a key role in providing administrative support, the incumbent will be required to report on-site on campus.

This role also requires a high level of customer service, as adverse interactions may negatively impact the overall student engagement and satisfaction.

In addition, this role requires astute attention to detail, as errors may result in negative implications in institutional compliance and inaccurate reporting of student statuses to federal and provincial regulatory agencies.


Key Responsibilities

Registration and Enrolment Documentation Support:


  • Assisting the Office of the Registrar in collecting and processing documents for enrolment, registration, work experience, and program completion;
  • Using extracted reports from a student information system to assist prospective students in fulfilling enrolment and registration requirements;
  • Evaluating enrolment eligibility through institutional standards and updating statuses _en masse_;
  • Communicating with students to collect study permit and visa information for international students and appropriate Canadian statuses for domestic students;
  • Assisting with creating and distributing enrolment letters, invitation letters, transcripts, ID cards, and other student documents;
  • Assisting in maintaining the student filing system;
  • Assisting and supporting students in tracking work experience hours and completion;
  • Assisting the Student Services Department in enrolling international students in health insurance;
  • Assisting the Student Services Department in creating and distributing travel support documents;
  • Assisting the Office of the Registrar in collecting program completion requirements and issuing program completion documents;
  • Assisting the Office of the Registrar in maintaining and consolidating student files for archiving;
  • Assisting the Associate Director, Student Services/Registrar in achieving the objectives of the Student Services Department and Office of the Registrar.

Operational Support Duties:


  • Providing professional, proactive, studentfocused, and exceptional frontline service in a variety of formats to a diverse student population;
  • Providing information in an accurate, friendly, empathetic, studentfocused, and timely manner;
  • Assisting with frontdesk coverage in rotating shifts;
  • Assisting in greeting and welcoming visitors, clients, agents, and prospective students; and
  • Assisting with campus inventory management and supplies;

General Administration Duties:


  • Performing administrative duties under the management team upon request;
  • Updating student profiles in student information system and other data entry tasks;
  • Maintaining the general filing system and filing correspondence where appropriate; and
  • Other tasks as required by the Associate Director, Student Services/Registrar

Position Requirements

Education and Experience:


  • A postsecondary credential is required;
  • One to two years' experience in international contexts is recommended;
  • More than one year experience in customer service is strongly recommended;
  • Experience working in an intercultural environment is required;
  • Experience with database management/student information systems is recommended;
  • Intermediate computer skills experience in MS Office 365, especially Excel and Word, is required;

Knowledge and Skills:


  • Strong communication skills in all forms including written and oral;
  • Willingness to learn and receive constructive criticism is vital to succeed in this role;
  • Intercultural competence or successful experience in intercultural settings is required;
  • Excellent planning, organizational, and multitasking skills;
  • Demonstrated high level of customer service and attention to detail are required;
