SUMMARY


The Service Billing Coordinator, under the direction of the Manager, Billing will primarily be responsible to ensure that all billing transactions related to Customer's Service transactions are accurately administered and executed in a timely manner in coordination with the Operation and Sales team.

They ensure Repair Orders are properly authorized and coded, billing lines are complete and accurate, and taxes properly calculated.

They ensure submission of the invoice and supporting documentations is completed in a timely fashion and in compliance with customer agreements.

The perform Customer Account Reconciliations to ensure timely payment.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Reviews repair order for invoicing purposes to ensure completeness and authorization.
  • Obtains and records approval confirmation and purchase orders from the customers as necessary, reconciling and following up to ensure timely invoicing
  • Communicates with Accounts Receivable, Customer Service, Operations and Sales regarding disputed work orders
  • Prepares and sends supporting documentation for invoices
  • Submits invoices using customer portals or purchasing systems as required.
  • Coordinates and processes credit/debit note requests
  • Performs customer account reconciliations and resolves discrepancies, and follows up for payment as necessary
  • Resolves customer concerns
  • Tracks and maintains work status
  • Responds to invoice and payment inquiries
  • Other duties as assigned

SUPERVISORY RESPONSIBILITIES

  • This position has no supervisory responsibilities

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

  • Degree or diploma in business, finance, accounting, or a related field
  • Five years of experience in billing, accounts receivable or related role preferred

TECHNICAL SKILLS

  • Basic knowledge of accounting systems, accounting transactions and internal controls
  • Meticulous with numbers
  • Ability to analyze and present numerical data in tables, spreadsheets, and forms
  • Ability to read, understand, and calculate financial figures such as discounts, interest rates, proportions, percentages, and taxes
  • Ability to work individually as well as a part of a team

REASONING ABILITY

  • Ability to carry out instructions furnished in written, oral, or diagram form
  • Ability to deal with problems involving complex scenarios
  • Demonstrated time management skills
  • Ability to handle high volume of work
  • Ability to prioritize, multitask and manage conflicting demands
  • High level of integrity and excellent work ethic
