***: Reporting to the Community Programs Supervisor, the Foster & Intake Care Coordinator (FIC) will be responsible for all aspects of the GTHS foster and intake program. This will include coordinating/scheduling animal intakes of all felines and canines that are new to the Animal Centre as well as being the primary point person for the foster volunteer team. This role is a mix of administrative/coordination work, and program/volunteer coordination.


Position Schedule:


Permanent
, 40 hrs per week 8:00 am - 4:30 pm, Sunday to Thursday on-site at the GTHS Animal Centre, and some occasional in-person events in the community.

Occasional off-site, evenings, weekends, and after-hours work will be required.

ROLES AND RESPONSIBILITIES

  • Foster Care_
  • Ensure health and wellness is maintained for all GTHS animals within the foster program, working within organizational Standard Operating Procedures (SOPs) and approved treatment plans with the Animal Health Technician and/or Animal Care Supervisor
  • Monitor GTHS animals within foster program to ensure that medical treatment plans and prescriptions are accurately followed
  • Maintain detailed and complete medical records for each GTHS animals in foster, scheduling intake exams for animals born in care, monitoring vaccine and parasite treatment review dates, and schedules
  • Communicate to foster ensuring preoperative and postoperative instructions are understood and adhered to
  • Work with Animal Health Technician (AHT) to ensure exams and treatments are complete and accurate in our database (PetPoint) and updated in real time for foster animals
  • Ensure that infection control procedures are always adhered to
  • Ensure that all medical assessments, conditions, and disclosures are documented and communicated to staff and volunteers
  • Work with Behaviour Specialist and Dog Care Coordinator (DCC) to ensure GTHS animals within foster program are following behaviour training plans accurately
  • Monitor and organize foster supplies ensuring that foster homes have the items necessary for effective care and notify the Community Programs Supervisor (CPS) and/or Animal Care Supervisor (ACS) of any needed inventory
  • Request feedback on animal behaviour, personality, and general temperament from fosters and communicate this information to the Adoptions Coordinator (AC) via the Foster Notes memo in Pet Point database
  • Animal Intake_
  • Following our capacity for care model, handle all communications with regards to scheduling appointments based on our available space in accordance with our policies and procedures. This will include communication with transfer partners and local owner and stray surrenders
  • Evaluate information provided during communications to determine if the animal is eligible for our program by consulting with our Behaviour Specialist and Care Coordinators
  • Communicate and coordinate with the Animal Health Technician and Care Coordinators to ensure that intake exams are conducted in a timely manner
  • Promote diversion programs and connect with potential resources to promote responsible pet ownership
  • Work with the Animal Care Supervisor to develop partnerships to ensure that GTHS helps as many felines as possible, and work to facilitate transfers in and out of our program where appropriate
- _Emergency Board Program_

  • Evaluate information provided during communications to determine if the animal is eligible for our program
  • Work with Behaviour Specialist and Care Coordinators to determine if the animal is eligible for our program and to arrange PLAs (Parking Lot Assessments) for dogs
  • Accurately track and record all calls/requests for emergency boarding. Provide monthly reports
  • Work with Fosters to provide longterm placements while maintaining strict privacy and confidentiality of the owner's information
  • Supervision of the Foster Care Volunteer Program_
  • Develop, administer, and review policies and procedures which guide the foster care team
  • Ensure that organizational and departmental information is communicated effectively and in a timely manner
  • Orient and train new foster care team members on GTHS policies and procedures and monitor their adherence
  • Coordinate follow up and ongoing refresher training for the team
  • Organize and host quarterly volunteer team meetings
  • Assist with conflict resolutio
