About the Opportunity:

The Administrative Assistant is the main contact for the MOTP. They provide Administrative assistance to the MOTP executive and MOTP team program activities. This involves setting up meetings, agendas, minute taking. Assisting with an Annual conference in organizing and contract negotiation with conference venues.

Financial assistance with managing the withdrawal and submission from the Program and verifying Foundation financial statements, reviewing with Administrative Co-lead of the program.

Assisting with physician performance reviews in making appointments, typing and record keeping, performs billing for the Fellows.

Provides support to Executive Council, Quality committee, Education Committee, Working Groups, Transplant Atlantic, MOTP Public Forum, keeping contacts current throughout Atlantic Provinces.

Assists with the Fellowship program arranging for interviews and assisting the New Fellow to navigate the program and NSH. Responsible for routine office management. Provides mentoring and leadership of the other secretaries and Clerks within the program. Provides back-up when required.


About You:

We would love to hear from you if you have the following:

  • Grade 12 plus completion of an Office or Business Administration Program required
  • Graduate of a recognized office administration program/business program/secretarial program and/or a combination of education, training and progressively responsible experience
  • Minimum 3 years secretarial experience required
  • Requires a thorough knowledge of all aspects of MOTP program, its policies and procedures, as well as general knowledge of institutional policies and procedures. Maintains an awareness of internal and external issues that may impact on the program.
  • Excellent interpersonal and communication skills
  • Accurate keyboarding and data entry skills with a minimum speed of 50 wpm
  • Excellent organizational, followthrough and time management skills, with the ability to prioritize tasks and accurately manage multiple priorities in a fastpaced, timesensitive and highly confidential environment
  • Skill and ability to take and transcribe minutes and to work independently as well as part of a team


  • Communication

  • Excellent verbal and written skills. Ability to effectively meet and communicate in situations requiring tact and poise. Proficiency in drafting correspondence and minute taking
  • Competencies in other languages an asset, French preferred
