Support Services Department Manager

(35 hours per week)

AIDS Community Care Montreal (ACCM) is looking for a Support Services Department Manager to join our team ACCM is the only English-speaking community organiza on that offers preven on and support services to people living with or affected by HIV and/or hepa s C in Quebec.

We work in collabora on with our many communi es to build a compassionate and caring response to HIV and hepa s C and do educa on work that equips people with the knowledge and skills needed to make informed decisions around their sexual health.


The main objec ve of the Support Services Manager posi on is to manage Staff, budgets, and project cycles in the Support Services Department.

The Manager will also develop Support services programming in coopera on with the Execu ve Director and Programs' Coordinators in the spirit of GIPA/MEPA principles and in alignment with ACCM's 5-year strategic plan.

The Support Services Manager reports to and is evaluated by the Execu ve Director, is the lead decision maker of their Department, and works in close collabora on with the Educa on for Preven on Services Manager.


The Support Services Manager will have the following core responsibili es:

  • Manage project cycles in the Support Services Department _
  • Oversee project cycles to ensure programs' effec veness and meliness, including planning, development, delivery, evalua on, and repor ng
  • Keep projects on track with their objec ves, melines, targets, and deliverables.
  • Review program areas, support the enhancement of the exis ng programs and/or development of new programs
  • Manage staff from the Support Services Department _
  • Hire and train staff in the Support Services Department
  • Ensure that staff has the necessary resources to fulfil their responsibili es in an efficient and effec ve manner.
  • Provide ongoing support to staff, including crea ng work plans, goal se ng, and by providing clinical support as well as project management skills, structures, and methods
  • Provide feedback on a regular basis to staff and through an annual review process.
  • Collect, check, and approve staff mesheets biweekly to ensure smooth processing of the payroll
  • Maintain staff mo va on through crea ng a trus ul and respec ul professional environment
  • Ensure smooth communica on between the Support Services Department and other ACCM departments
  • Encourage and ensure staff professional development
  • Do conflict resolu on as necessary (within / between the team and Membership)
  • Follow up ACCM's grievance procedures in case of necessity
  • Enforce implementa on of the ACCM personnel policy ensuring the rights of employees are protected
  • Enforce implementa on of the ACCM code of conduct ensuring ACCM Dropin (and any ACCM ac vity or event) is a safe space for all employees, volunteers, and Members
  • Ensure Programs Development in the Support Services Department _
  • Promote GIPA/MEPA principles in program development and implementa on
  • Regularly gather feedback and ideas from membership on their changing needs and develop projects and programming on that basis.
  • Liaise with partners to iden fy poten al opportuni es of partnership and funding
  • In collabora on with the Execu ve Director and Fundraising Coordinator, research, iden fy, dra, and submit proposals to poten al funding opportuni es
  • Financial responsibili es for the Support Services Department _
  • Develop and oversee programs' budgets
  • Monitor, supervise, and create reports for pe y cash expenditures
  • Code and approve cheque requisi ons and purchase orders
  • Together with the leadership team, par cipate in quarterly accoun ng review mee ngs with the accountant and in the yearly ACCM budget crea on exercise with the ED and Board Treasurer
  • ACCM representa on for Support Services _
  • Collaborate with the Execu ve Director to maintain, reinforce, support, and build partnerships with appropriate organiza ons.
  • Represent ACCM on various external commi ees and working groups
  • Present ACCM's services in different forums, pla orms, partner organiza ons such as clinics, community or governmental organiza ons, and funders

  • Collaborate with the Educa on for Preven on Manager on joint projects and ac vi es
  • A end ACCM's major events such as World AIDS Day, Holiday Party, Fundraisers, etc., as deemed necessary
  • In close collabora on with the Execu ve Director and the Educa on for Preven on Services
Manager, lead one project to improve the management and organiza onal structure of the organiza on
