In Burnaby, BC, we have a stateoftheart Good Manufacturing Practice (GMP) compliant facility, with customdesigned equipment for commercialscale production. POSITION OVERVIEW

  • Reporting to the Associate Director, you will be part of a collaborative HR & Admin team who partners with department groups to support our managers and employees. You will lead the Admin team ensuring the department runs efficiently and ensuring the confidentiality of information as it relates to policies and procedures.

1. Key Responsibilities

  • Review, develop and implement Administration policies and procedures
  • Manage facility to ensure the maintenance of building structure and grounds, liaise with landlord and coordinate with external contractors for all facility and building equipment related repairs and services
  • Oversee building security system, employee and visitor access control of all facilities
  • Lead projects such as renovations and office improvements, procurement of furniture or office equipment
  • Prepare and manage department budget, implement cost control measures, analyze variances
  • Manage contracts with vendors and service providers, secure and update insurance coverage for various requirements and oversee service contractors
  • Lead the contract and purchase requisitions renewal process prior to tenure expiry for maintenance service and conduct vendor evaluation periodically
  • Ensure the provision of efficient and effective office support services and implement measures to maintain an organized and environmentally friendly office
  • Manage sustainable activities such as recycling, energy efficiency and water conservation
  • Prepare and/ or review various management reports
  • Ensure compliance with applicable government regulations
  • Ensure the department quality management systems smooth operation by planning and coordinating activities, processes and workflows including maintaining the department filing system and ensuring the files are organised and uptodate
  • Lead, coach and support employees with their career planning and development
  • Perform other duties as required

2. Knowledge, Skills and Experience

  • Minimum 6 years experience in an administrative support role within a commercial manufacturing environment with at least 2 years experience managing a team
  • Post secondary certificate or diploma in a relevant field or a combination of education and experience
  • Strong understanding of manufacturing / operation and office management
  • Proficiency in using Microsoft Office suite and familiarity with different software systems
  • Experience in contract administration, handling and negotiation of agreements
  • Excellent interpersonal, communication and organizational skills
  • Strong time management and project management skills
  • Ability to exercise sound judgment, and discretion
