JOB SUMMARY
The Human Resources (HR) Coordinator acts as a resource to the Director, People, Culture, Organizational Development.

The HR Coordinator is responsible for a range of HR functions including:
Benefits, Pension Plan, Occupational Health & Safety Legislation Compliance, Orientation & Training, Payroll and HR documentation.


All staff are expected to actively use their skills and judgment to identify systemic problems, formulate, and implement solutions related to responsibilities they are charged with.

Specific areas of responsibility are outlined in the following sections:


POSITION RESPONSIBILITIES

Human Resources

  • Prepares employment contracts for new hires, renewal of contract and new contracts for existing employees.
  • Assists with the compensation system:
  • Prepares letters and notices to employees advising them of any changes to their compensation.
  • Monitors all employment contracts.
  • Assists with the administration of annual salary increments.
  • Coordinates employee departures process:
  • Informs employees of remaining entitlements
  • Terminates payroll and benefits.
  • Drafts termination agreements/letters, as requested.
  • Ensures HR files are up to date by advising managers of need to complete appropriate documentation including:
  • Contract renewals or terminations
  • Job descriptions
  • Probation review dates
  • Performance reviews
  • Proof of qualifications
  • Annual increases
  • Maintains the Centre's personnel filing system (both paper and electronic forms)
  • Responds to employee inquiries and third parties requests.
  • Updates employees on pertinent HR transactional information
  • Completes surveys from various parties concerning payroll, benefits, or HR issues.

Orientation and Training

  • Meets with all new employees to review orientation packages, benefits, payroll and JOH&S issues.

HRIS and Payroll Administration

  • Sets up and maintains employee profile information, including inputting new hires, changes in hours, salary, deductions, employee personal information status and terminations.
  • Processes payrolls change requests as required for changes in deductions, pay rates, status, etc;
  • Enters all change information to payroll software by each payroll deadline.
  • Maintains controls and balances records in preparation of payroll.
  • Liaises with various contracted firms to provide benefits programs/services for the Centre.
  • Coordinates the timely submission of, and followsup discrepancies with respect to enrolment/termination of employees, and changes in payroll or benefit coverage for employees.

Benefits

  • Provides information to staff on matters relating to benefits (e.g. enrolling and orienting staff to group benefits and pension plan)
  • Performs online administration of all employees' transactions for Benefit Providers and Pension Plan
  • Coordinates employee longterm disability cases
  • Produces employee entitlement reports.
  • Reconciles Pension Plan deductions annually.
  • Prepares Member Data Collection report for HR data accuracy.

Employment and OH&S Legislation/Policy

  • Assists with updating and revising all HR related policies and procedures as needed to ensure compliance with relevant legislation and best practices.
  • Prepares reports as requested by the Director, People, Culture, Organizational Development on HR or JOH&S related matters.

Education

  • Human Resource Management postsecondary courses preferred or at least 3 years of experience in Human Resources

Professional Experience

  • Knowledge of best practice methods and terminology used in recordkeeping.
