    Role Responsibilities

    The Ministry of Advanced Education has an exciting opportunity for you to join our team as a FLS Administrator

    Reporting to the Manager, the Foundational Learning Administrator provides multiple administration, financial, and information management/information technology (IM/IT) to Client Service Delivery Team and the FLSD Unit to facilitate efficient daily business operations. The Administrator applies sound interpersonal skills and knowledge of the team and unit priorities to complete work in required timeframes and within the established department requirements. All responsibilities are performed in accordance with relevant legislation, policy, and procedural guidelines applicable to financial and administrative functions, and foundational learning programs, and objectives established by the Manager.

    In your role as the Foundational Learning Administrator, you will:

    • Support the preparation and execution of grant agreements (e.g., records management, coordination of signatures, document preparation, and tracking progress to execute agreements).

    • Create Bernie service requests to action IT issues for the staff.

    • Process financial transactions for the unit and pay invoices ,P card reconciliations financial reports, verify approvals ,complete fiscal year end and shared service agreements payments and accruals).

    • Respond to inquiries and requests for information from internal and external stakeholders.

    • Ensure that all documents are processed within deadlines, and adhere to ministerial policies, guidelines, and procedures.

    • Back up to supervisor for purchasing services and supplies in compliance with GOA procurement rules, maintain office supplies, action staff supply requests.

    • Maintain print and electronic records in accordance with ministry and GOA policies and practices, including coordinates storage of old files with Central Records; and ensuring files are handled in accordance with the Freedom of Information and Protection of Privacy Act.

    • Administrative supports are provided to the Branch in line with GoA requirements to support ongoing business operations as back up to the supervisor.

    • Coordinate surplus office equipment, order new office equipment (e.g., printer) and ensure it is operational, provide staff information and training on how to use equipment.

    • Receive and allocate payments from students and educational institutions to appropriate debt in IT systems.

    • Perform tuition fee refunds, including receipt of payments from educational institutions, payments reconciliation and update appropriate information in relevant IT systems.

    • Communicate with educational institutions to clarify and resolve any discrepancies concerning conflicting information.

    • Reconciliation and Reports are generated to reflect status of the funding budgets and inform management's decision-making.

    • Contacts are sustained with internal and external stakeholders to support financial processes and related troubleshooting.
