Description

The primary role of the Education Coordinator is to coordinate and oversee the various education programs at the Medical/Surgical ICU at_ _St.

Michael's Hospital.

This includes the Undergraduate (medical students) Program (13+ students a year), Elective Medical Students, Residents, and Fellows, Postgraduate (Residency) Program (24+ residents per year), Faculty Professional Development Program, and The Quality Improvement Program.


Responsibility:


Provide daily management, analytical, and administrative support to the Undergraduate and Postgraduate Program Directors, Academic Curriculum Coordinator, Academic Research Coordinator, Faculty Development Lead and Quality Improvement Lead, as well as to other members of the Medical/Surgical ICU as required.

Organize resident's overall 2-year residency experience based on rotation capacity, learner's level of competency and interest, and continuously monitors and adjusts schedules

Organize resident's Medical/Surgical ICU experience based on level of competency, interest, and departmental capacity, and continuously monitors and adjusts as required


Act as a central liaison for Medical/Surgical ICU residents and medical students, assisting with program matters on a daily basis.

Organize and coordinate medical student rotations in conjunction with the Undergraduate Program Director.

Develop and evaluate quality improvement projects as it relates to student experience including but not limited to compiling student related data and feedback

Ensure all PARO guidelines for on-call scheduling and vacation requests are adhered to for the residents

Communicate with community physicians to coordinate residency and clerkship clinical experiences.

Provide assistance with progression of PGY 1s to PGY 2s year, and PGY2's to graduation

Manage annual resident recruitment sessions at Open House held in January each year.

Works closely with the Professional Development Lead with various responsibilities including coordination of Professional Development sessions and University Faculty Appointments

Work with the Residency Program Director and the Undergraduate Program Director to organize and implement orientation for residents and medical students respectively


Compiles data year round from April 1 to March 31 which includes service specific rotational information for 24+residents and 13+medical students.

On-going communication with Patient Care Manager and Coordinator for the Medical/Surgical ICU re: clinical needs as impacted by the education program

Track pagers/fortitoken and any other equipment temporarily assigned to residents/students

First point of contact for residents with wellness/emergent issues

Arranging helpdesk and IT support for program directors and learners as required

Work with Quality Improvement Lead and Resident Research Coordinator on organization and planning of QI foundations course & resident research presentations,

Work with Residency Program Director on coordination/scheduling of Resident's Academic Project/ SOO exam and Journal Club

Coordinate monthly Program Directors / Residents meetings

Work with Academic Curriculum Coordinator with planning and organization of weekly Wednesday morning

Liaise with internal and external community preceptors and other stakeholders to facilitate communications and meetings

Coordinate audio visual, teleconference and catering for meetings/events.

Prepare cheque requisitions, processing accurately and in a timely fashion

Prepare Community preceptors requests stipend, track, calculate for finance

  • Appropriate identification, reporting and response to patient/employee confidentiality breaches in accordance with established policies and procedures

Qualifications:

Administrative/Medical Assistant Diploma is required

Certification Project Management preferred

3-5 years required of recent experience in administrative /coordination role is required

3 years preferred of recent experience in healthcare and/or higher education setting is preferred

Previous project management experience required (2yrs minimum)

Analytical and problem solving skills

2-5 years of recent, related experience required

Demonstrated ability to work independently and multi-task

Demonstrated ability to work within a team

Customer service background an asset

Demonstrated skill in building and supporting collaborations, across multiple organizations, locations and functions to achieve a common goal;

Excellent computer and technology skills
