What you'll do:


As the Office Manager, you will be hands-on with our administration and operations and contribute to the overall efficiency and success of the clinic.

In collaboration with the Regional Director, you will support the team in achieving their daily, weekly, monthly, and annual sales targets.

Your role involves ensuring that the practice adheres to GraceMed's luxury service model, inspiring exceptional patient outcomes, and effectively.

Administration Leadership:

_ Create and maintain systems and processes to create ease throughout the day, ultimately leading to ease and efficiency for our Patient Coordinators and Clients.

Patient Experience Champion:
_Ensure our clients receive a Very Important Client experience from the moment they walk in the door. Provide regular feedback to the Regional Director on ways to enhance patient experience and improve clinic flow.

Operations Excellence:
_Support the management of the day-to-day clinic operations, including patient flow, scheduling, and staff coordination.

Manage the coordination and clinic flow; scheduling appointments efficiently to optimize the time and schedule of treatment providers and minimize gaps.

Strategic Planning:
_C ollaborate with the Regional Director to implement strategies for growth and success. Monitor the Key Performance Indicators (KPIs) to identify trends, opportunities, and deficiencies.


What you will bring along:


  • Previous experience in office management, preferably in a healthcare setting, is highly desirable.
  • Experience with OHIP billing procedures, billing codes and regulations is essential.
  • Proven track record of meeting and achieving goals/targets, with a focus on cost control skills.
  • Preferred experience in the private practice sector.
  • University degree in business or a related field of study, or an equivalent combination of education and work experience.
  • Experience working with budgets, profit and loss (P/L) statements, and reporting is preferred.
  • Knowledge of pointofsale transactions is an asset.
  • Experience with practice management software and patient engagement software is required.
  • Exceptional organizational skills with a focus on time management and prioritization.
  • Demonstrated leadership and people management skills and experience.
  • Outstanding communication skills, including verbal, listening, and information sharing.
