Superintendent (live-in) Job Description

REPORTING STRUCTURE

  • Report to the Board of Directors all issues to the governance, wellbeing of the building, residents and community.
  • Report to Property Manager all significant matters relating to the building, equipment repairs, new purchases required, contractor issues, health & safety concerns and unusual matters relating to all building matters.
  • Report to the Board and/or Condo Manager all significant matters for direction and/or their knowledge.

CUSTOMER SERVICE

  • Interacts in a professional manner with Owners, Residents, Contractors, Trades, Utility personal in a professional manner at all times.
  • Demonstrates diplomacy for the enforcement of established building rules.

SUPERVISION OF CONTRACTORS & TRADE PERSONNEL:

  • Supervises and provides direction to the service technicians hired by the Condominium Corporation.
  • Contacts various contract and/or trade technicians for repairs.
  • Monitors the service technicians during repairs to ensure quality of work is performed of electrical, plumbing, painters, etc.
  • Accompanies service technicians during repair while they are on Corporation property.

ADMINISTRATION

Amenity Rooms

  • Approves amenity room rentals, collects deposit payments, inspects the room after each use, and holds the deposit if there are damages.
  • Sends notifications and enforces the Rules & Regulations of the Corporation.

Building Notices

  • Posts notices throughout the building at direction of the Property Manager.

Elevator Reservations

  • Approves elevator reservations for residents moving in/out.
  • Puts the Elevator On-Service prior to the move in date.
  • Installs & removes the _protective pads_ in elevator safeguarding the walls & mirrors.
  • Accepts deposit cheques and inspects elevator for damages after the move.
  • If elevator is damaged, informs resident and holds deposit check until repair costs are received.

Equipment and Tools - keeps accurate inventory list, records and data of all equipment and tools.


Fobs, Garage Remotes and Intercom System

  • Monitors, adds and deactivates access of residents and cleaning staff, as required.
  • Troubleshoots any anomalies in database.

Lease Agreements Per Condominium Act of Ontario, 1998:

  • Ensures Agreements are completed when new tenants are moving into the Condominium.
  • Updates the Manager with copies of lease agreements.

Inspections - Maintains regular inspection documents and reports for all issues.


Meetings - Attends meeting at the request of the Board of Directors and/or Condo Manager.


Parking - Monitors Visitor Parking as needed / directed.


Performance Audit

  • Contacts and communicates with Developer regarding common element issues and warranty repairs that are listed in the Performance Audit.
  • Assists the Board of Directors with sign offon items that have been repaired by the Developer.

Policies and Procedures - Develops and maintains ongoing maintenance operational procedures and manuals in direct support of in-house protocols.


Security Cameras

  • Monitors and reviews camera footage of various incidents.
  • Forwards footage and offender information to Property Manager to issue Warning Letters and/or charge repair fees, if necessary.

MAINTENANCE RESPONSIBLITIES

Common Element Areas - cleans, maintains and performs minor repairs, including but not limited to windows, doors, swimming pool and courtyard/deck.

Grounds - monitors, inspects and maintains ground areas free of dog feces, garbage, litter, dirt, ice and snow, as needed.

HVAC System - performs adjustments and troubleshoots the system according to established in-house protocols.

Snow / Ice - spreads salt and shovels snow from the main entrances of the building to ensure safe access and egress for all pedestrians. This occurs when the snow accumulation is below the threshold level in the Snow Clearing Contract to respond.

Common Element Cleaning - mops floors, vacuums hallways, dusts walls & ceilings, cleans elevators.


Common Element Inspections:

- monitors, inspects and maintains all common areas entrances, lobbies, hallways, amenity rooms, washrooms lobby, including the underground parking garage.


Common Element Problems:

- investigates in-suite issues relating to common element problems to mitigate future problems, such as water leaks, noise, etc.

Common Element Repairs - maintains and repairs minor items, such as electrical, plumbing, lighting fixtures, hallway painting, affix signs, floor fixtures, convex mirrors, as needed.

Garbage / Recycle Rooms - monitors, inspects and ensures garbage / recycling items are removed daily.

Inspections - completes daily inspections of outside grounds, garage, mechanical rooms, etc.

Large Furniture/Items Left in Garbage Room - Moves items left by residents who are responsible for the disposal of these items.
