What will you do?

  • Manages all aspects of the VP's/AVPs calendar to ensure meetings are prioritized with internal and external clients/business partners as appropriate.
  • Effectively works with other EA's in scheduling and coordination for meetings and other needs.
  • Coordinates meetings including preparing agendas, letters, memos and presentations. Also helps to prepare the VP's/AVPs for meetings including advance generation of meeting attendee bios.
  • Effectively and proactively manages events organized by the VP's/AVPs, including town halls and other functional events, assisting in organizing content, attendees, facilities, and presenters.
  • Assists in the preparation and distribution of reports and internal communications.
  • Manages all travel arrangements and accompanying material.
  • Manages the administrative budget work for VP's/AVPs (expense reimbursements, cheque requests, purchase orders, accounts payable).
  • Assists the VP's/AVPs in their role with any Boards and including coordination with the Corporate Secretary's office.

What do you need to succeed?

  • A minimum of 5 years' experience working as an Executive Assistant supporting senior leaders.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite; experience creating PowerPoint decks and presentations.
  • Ability to perform with professionalism and poise.
  • Strong interpersonal skills, ability to work in a team environment as well as independently.
  • Able to be proactive and take initiative, strong problemsolving skills.
  • Able to handle and maintain confidential company information.
  • Excellent organizational and time management skills.
  • Demonstrates accuracy and thoroughness.
  • Able to make professional decisions.
