DUTIES AND RESPONSIBILITIES:

Responsible for the administration and efficient performance of all operations and service delivery related to On-Campus Employment

  • Acts as a liaison between employers, students, Human Resources and Payroll with respect to parttime or fulltime oncampus employment
  • Creates budget report for the Director of Financial Aid and Awards to determine the number of positions to be approved
  • Researches best practices from other colleges/universities, if available, and collects data of implementing new procedures while ensuring institutional compliance to MTCU guidelines and planned program changes to be implemented
  • Assist employer hiring by maintaining job postings on Hired Portal
  • Provide information to employers about oncampus employment via Information Centre for Employees (ICE)
  • Tactfully informs employers and students of policies, procedures and adherence to Financial Aid and Awards policies, procedures, and responsibility
  • Builds and maintains applicant files adhering to supporting documentation requirements. Maintenance of strict confidentiality regarding student records and information
  • Assesses payroll reports and confirms student employees are paid through the correct account
  • Tracks the number of hours students have worked to ensure the student has not gone over maximum allowed hours
  • Develop and coordinate Summer Employment Orientation presentation for students participating in the Summer Employment Program
Provides quality customer service and responds to in-person and telephone inquiries

  • Addresses and corrects/modifies and technical/systems/process errors identified
  • Verifies students' status and entitlement eligibility in accordance with Ministry Compliance and Audit Guidelines prior to distribution of loan documents, cheques, and forms
  • Enter and maintain student records via Ministry online system and banner
Records Custodian for OSAP documents

  • Through the authority of the Director of Financial Aid and Awards, delegates work to student staff to prepare and package records for Offsite Storage
  • Verifies/modify/correct the Detailed Box Contents Listing and Records Transfer List Form
  • Works with ministry to arrange pickup completed packaged records
  • Prepares and packages the OSAP records for offsite storage

QUALIFICATIONS:


  • A minimum of a three-year degree or diploma in Business or Office Administration
  • A minimum of three years of work experience in a Student Financial Aid office or in a computerized office environment requiring a high degree of quality customer service.
  • Demonstrated experience interpreting complex government and institutional policies and procedures
  • Proven ability to carry out concurrent projects involving shifting deadlines and priorities
  • Must have proven experience showing a high degree of planning and organizational skills and demonstrated analytical and problem-solving skills with a proven aptitude for detail and accuracy.
  • Experience in public speaking and developing presentations are essential.
  • Experience working independently, in a team environment, including strong planning and coordination skills with the experience independently prioritizing own work assignments to meet regular deadlines, and multitask while paying particular attention to detail and accuracy
  • Comprehensive knowledge of OSAP programs, and experience with MTCU online systems such as AS400, OneKey, as well as computerized financial systems, student accounts, Banner and strong computer literacy
