Description

Reporting to the Associate Dean, Visual and Performing Arts, the Program Support Specialist (PSS) is responsible for providing administrative and program delivery support to the Faculty of Animation, Arts and Design (FAAD).

The incumbent is the front-line point of contact for program-related inquiries, and supports the programs, administrative and organizational needs of the Faculty team (e.g. Associate Dean, administrators, faculty, coordinators, staff) and students. The incumbent also works closely with agencies, internal/external stakeholders and organizations to provide information linkages.

What You'll be Doing

Compiling program-related documents and preparing necessary reports/correspondence, including Program Reviews, mandated consent renewals for degree programs, and external accrediting organizations;
Maintaining appropriate student information related to exceptional program status such as probation, incomplete status, or other unique academic arrangements and provide details to students/faculty/coordinators/administration/Office of the Registrar where necessary;
Responding to internal and external inquiries about program content, program development, curriculum and administrative policies and procedures;
Developing reports and databases to track information;
Investigating and resolving complex problems and concerns related to assigned programs;
Compiling and verifying documents for new and revised curriculum changes, updating databases, maintaining records of submissions to academic committees, following up on missing information or changes;
Tracking online portfolio submissions, portfolio fee payments and other specialized documents that are submitted for consideration;
Developing reports, forms and processes for special admissions requirements, organizing admissions events where required;
Maintaining ongoing communication with partner universities for joint programs;
Scheduling and organizing meetings for the Program Advisory Committees, including contacting members and monitoring responses;
Performing other related duties as required.

You have the skills and knowledge to work with an increasingly diverse student and staff population as well as a proven commitment to anti-oppression, equity, and inclusion.


You enjoy balancing many different tasks and can prioritize multiple projects while staying organized and maintaining a high level of attention to detail.

You have excellent oral and written communication skills.


Possess a 3-year diploma/degree in Business Administration or Office Administration or a related field, along with 3 years of experience with word processing, spreadsheets, database management, internet research, and office administration (or an equivalent combination of relevant education and experience).
