The purpose of the
Secretary of Professional Services position is to is to provide administrative support to the Senior Manager of Professional Services, and the professional services department.

This position reports to the Senior Manager of Professional Services.


Main Responsibilities:


  • Develops and implements processes for professional services department to streamline workflow across all three site and documentation;
  • Provides reception services for the department, including receiving calls and or visitors, arranging meetings as required, delivering messages to and from staff, and processing incoming and outgoing mail;
  • Performs clerical duties for the department including records management and preparing correspondence, updating department information on KPR website, preparing reports, minutes, agendas, calendars, newsletter and other various documents and publications;
  • Regular interaction/liaison with the office of the Superintendent of Special Education and Special Education department for the purpose of coordination of appointments and facilitating department correspondence and activities
  • Creates, tracks, and maintains departmental paper and electronic files including psychological, speechlanguage, counselling, and applied behaviour analysis files;
  • Receives requests, monitors and prepares documents for the release of information according to PHIPA and MFIPPA;
  • Monitor, maintains and reconciles department budget files, pays invoices, processes mileage and expense forms, prepares purchase orders
  • Prepares and tracks requisitions, stocks and monitors office supplies, including professional services clinical test kits and supplies
  • Prepares and analyzes data to produce reports as required
  • Supports professional development sessions for the department through registration, organization of sites and refreshments, creating of graphics for flyers and PowerPoint presentations, and evaluations through software such as survey monkey;
  • Provides collaborative graphic art services and assists in preparing for professional presentations and seminars for staff in the department;
  • Developing, preparing, editing and updating information and materials on the Board's corporate website with respect to the Special Education Department;
  • Updating special education forms and reports to fillable forms, as well as, creating special education processes to livecycle;
  • Liaising with the other departments such as ICT to ensure the department's electronic data system, files and processes are current and provide the information necessary for analysis purposes; and
  • Performs other duties as may be assigned by the managers and principals of Special Education

Education & Experience:


  • Secondary school graduation diploma or equivalent
  • 2 year medical office college certificate
  • 1 to 3 years' recent experience working as an administrative assistant a central office environment
  • 1 to 3 years' recent experience working with webbased editing software
  • 1 to 3 years recent experience in data base report writing
  • 6 months school office experience is an asset

  • Advanced computer skills in word processing, spreadsheets and data bases including specialized graphics and publishing software.
