Position Summary


The Quoting & Purchasing Coordinator will produce accurate and complete quotations in response to inquiries made by HVAC field technician, sales team, and customers.

Required to gather pricing data and send quotes to clients within the required time.

The role will also follow up with technicians, track inventory, maintain detailed filing systems, and assist the accounting team with invoicing process.

Other quoting/pricing duties as required.
_This role is hybrid and only required to work in the office one day per week_

Position Responsibilities:


  • Prepare approx. 515 quotes per day.
  • Develop strong relationships with customers, internal staff, and all vendors.
  • Follow up on quote status in conjunction with the field technician/sales team.
  • Track the success/failure rate of quotes
  • Purchase products once the quote is approved by the customer.
  • Provide administrative assistance through running routine as well as ad hoc reports.
  • Review competitive product crossreferencing and maintain competitive pricing data.
  • Maintain and update the pricing history database.
  • Conduct and execute special pricing projects as required.
  • Resolve pricing discrepancies on customer orders and invoices.
  • Other duties assigned as required.

Position Requirements:


  • Construction/HVAC knowledge and experience is an asset
  • Quoting and purchasing experience is an asset
  • Effective attention to detail and a high degree of accuracy
  • Sound analytical thinking, time management, prioritization, and execution skills
  • Proficient in Microsoft Word, Excel and Outlook
  • Proven diplomatic, negotiation, and conflictresolution skills
  • Strong work ethic and positive team attitude
  • Able to effectively communicate both verbally and in writing
