Van Herpt Volvo Cars Kingston is looking for an experienced parts advisor to join our team.

As a parts advisor at Van Herpt Volvo Cars Kingston, you are responsible for providing a customer experience inline with a prestigious luxury brand such as Volvo.


About Us:

Reporting:
This position will report directly to the parts and service manager. The technicians in the workshop will report directly to this position. The service advisor will indirectly report to this position as well.


Responsibilities:


  • Ordering and Receiving
  • Ensure daily parts orders are placed with the manufacturer and other suppliers accurately and within our daily ordering window.
  • Review daily order and mark any items unavailable to back order in the dealer management system and notify relevant parties of the delay in receiving the part.
  • Receiving daily order of parts, ensuring the order is received electronically in our dealer management system and specialorder parts assigned to the relevant parties requiring them.
  • Physically sorting the daily order. Identifying deficiencies in condition and verifying quantities ordered match quantities received. When discrepancies are noted, bring to the attention of the parts manager to file a claim with the manufacturer immediately.
  • After verification of the ordering accuracy and condition, assign all received parts for inventory necessary BIN location to ensure part locations are readily identified for future reference.
  • Appointment Monitoring
  • Reviewing next day appointments, ensuring all specialorder parts required for appointments are on hand and accounted for.
  • Ensure all preassigned parts required for service are accurate and sufficient on hand quantity is available to fill requests from technicians the next day.
  • When any parts are not readily available ensure relevant stakeholders (i.e., service advisor, client) are made aware immediately and reschedule appointments accordingly.
  • Repair Order Process
  • Invoicing and picking parts required for repair orders as they are generated by the service advisor, ensuring they are readily available for technicians as repair orders are located through dispatching for the workshop.
  • Monitor the parts dashboard, accurately quoting parts requested by technicians for additional work which may be required on clients vehicles, ensuring estimated time of arrival is provided to service advisor to set client expectations.
  • Monitor the report "Repair Orders Open with Preassigned Parts," ensuring as service advisors sell additional work requests that the subsequent parts are invoiced/ordered in a timely manner, ensuring they are readily available for technicians with the additional repairs are performed.

Key Performance Indicators:


As a parts advisor at Van Herpt Volvo Cars Kingston, you will be responsible for maintaining an elevated level of key performance indicators.

These indicators will be monitored by fixed operations management.

Some of the indicators are but not limited too:

Parts sold / repair order.

Time to complete additional service request estimates.

Ensuring all inventory is always assigned a BIN location.

Discrepancies paid vs. claimed (ensuring ordering errors are corrected immediately)


Skills:


  • Strong time management skills, being able to multitask and provide an elevated level of service when multiple clients are seeking assistance.
  • Strong organizational skills, ensuring proper follow up is performed and meeting deadlines and fulfilling promises made.
  • Communication and Listening skills, being able to actively listen and communicate to advisors and clients the estimated time of arrival for parts on order and performing follow up when status changes.
  • Teamwork, ensuring you work within our team, working towards our teams common goals.

Experience:


Experience:

  • Experience using a dealer management system (CDK, PBS, Reynolds & Reynolds for example)
  • Experience using Microsoft Office products (Word, Excel, Outlook)

Salary:
From $40,000.00 per year
