The Department of Clinical Neurological Sciences (CNS) is an interdisciplinary team of investigators, research, and administrative staff recognized nationally and internationally as leaders in neurology and neurosurgery health care, teaching, and research.


Responsibilities:


The Administrative Assistant supports the day-to-day operations of the Department of Clinical Neurological Sciences (CNS), including providing administrative support to the Chair/Chief of Neurology on academic, operational, strategic, administrative, financial and planning initiatives in the Department.

The Administrative Assistant coordinates administrative aspects of all matters related to the Chair/Chief's activities and responsibilities, including scheduling meetings, coordinating logistics for travel, providing committee support, preparing documents and presentations, and processing various financial transactions and reconciliations, as well as coordinates the continuing education events and budget and facilitates their accreditation.

The Administrative Assistant also maintains departmental websites and social media accounts, creates promotional materials and graphics, and drafts and distributes communications and correspondence to internal/external stakeholders with the goal of raising the teaching and research profile of the Department.


Qualifications:


  • Education:
  • 3-year Community College Diploma in Business Management/Administration or relevant field
  • 3year Bachelor's Degree preferred
  • Courses in Corporate Communications & Public Relations an asset

Experience:

  • 5 years of experience providing administrative support to leaders and coordinating logistics of specialized programs in an academic or medical environment
  • Experience supporting academic medical staff and trainees preferred
  • Experience interpreting and adhering to academic policies (e.g., collective agreements, appointment and promotion procedures, financial policies related to fund accounting) an asset

Knowledge, Skills & Abilities:

  • Familiarity with academic policies and policies, medical education, accreditation, and related licensing bodies preferred
  • Knowledge of financial principles and processes related to fund accounting
  • Demonstrated ability take initiative, to work independently and follow through on work assignments
  • Ability to interact professionally with students, staff, faculty, and other members of the University community
  • Verbal and written communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Strong mathematical and analytical skills to complete accurate calculations with the ability to synthesize sizable amounts of detail/data and reports and present information and materials to different audiences
  • Ability to follow formal business practices with high attention to detail
  • Personable and courteous in working relationships with colleagues, students and the public
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Competency to maintain confidentiality and treat sensitive information with discretion
  • Demonstrated ability to understand and resolve external and internal partner issues
  • Intermediate proficiency required in Microsoft Office Suite to prepare communications and create spreadsheets and databases for departmental data
