    Your opportunity: The Prospect Management team within DUA guides the management and analysis of prospect portfolios of individual gift officers to support strong divisional and university-wide pipeline and ensuring there are tools to evaluate progress for specific programs and with individual prospects. Under the general direction of the Manager, Prospect Management, the Prospect Management Analyst has primary responsibility for building relationships with key internal stakeholders; in particular, fundraisers through regular portfolio reviews and check-in meetings. The analyst provides informed recommendations about Prospect Management processes to colleagues and trains end-users on procedures and tracking major gift activity to ensure accurate recording and reporting of activity. The incumbent plays a critical role in analyzing prospect portfolios and providing accurate records regarding the status of the portfolios, contacts, movement through solicitation cycles, and related prospecting activity. The Prospect Management Analyst provides management with accurate historical records of the University's relationship with a donor, as well as future plans; coordinates development efforts; guidance on moving prospect through the development cycle; provides data and reports which inform the performance measurement program associated with the University's prospect management system. The incumbent has responsibility for the daily management, maintenance and oversight for documents, systems and processes necessary to maintain effective and efficient operation of the prospect management program. Through the work of the Prospect Management Analyst, all fundraising units have a shared responsibility for the appropriate use of the prospect management system and are able to access and use the system effectively to manage and monitor their program's activities. Policies and procedures are uniformly understood and adhered to within the division.

    Your responsibilities will include:

    • Building and strengthening relationships with stakeholders and partners of strategic importance
    • Providing consultative advice on data requirements
    • Assessing needs and contributing to the development and implementation of plans for prospect identification, cultivation, solicitation and recognition
    • Advising on strategies for potential major donor prospects
    • Producing complex statistical information
    • Generating reports
    • Planning components of prospecting projects
    • Training end-users on procedures and the use of supported IT systems

    Essential Qualifications:

    Bachelor's degree in library sciences, liberal arts, information management, business or a related field, or an equivalent combination of education and experience. Minimum three years in an administrative capacity, with a minimum of two or more years of experience in advancement/fundraising preferred. Experience with comprehensive contact management systems such as Arbor, Blackbaud (or related fundraising database) is preferred. Experience with prospect management/tracking, with prospect research experience desirable, preferably in an academic environment. Experience advising on strategies for potential prospects and use data to make recommendations. Experience planning and implementing projects, including developing project schedules, milestones, critical path, timelines, deliverables and reporting. Experience managing multiple projects with competing timelines. Experience preparing reports from multiple data sources. Experience in the development and delivery of training programs and related documents. Superior computer skills and analysing data within a complex CRM database. Strong working knowledge of word processing and advanced fluency in spreadsheet manipulation. Ability to provide consultative advice on data requirements. Proven training and coaching skills and the ability to collaborate effectively within a team and with colleagues to achieve specific goals. Demonstrated written and verbal communications skills including strong editing, spelling and grammar skills, as well as the ability to clearly communicate ideas and explain procedures.
