DEPARTMENT OVERVIEW

ROLE SUMMARY

  • Managing and administering public and/or private fitness programs offered weekly to the UBC community and campus partners;
  • Coordinating and communicating with a diverse team of instructors, including: Personal Trainers and instructors for Martial Arts, Dance, Spin & Group Fitness, and Yoga & Pilates;
  • Offering a diversity of youth camps, including, fitness and nutrition, sport fitness, selfdefense, and yoga, during spring and summer breaks in collaboration with UBC Camps;
This diverse, interconnected portfolio offers the incumbent a unique opportunity to gain insight into the administration of Recreation programming while acquiring professional experience relevant to the Recreational/Health & Fitness market, including:

  • Evaluating and coaching recreation programming staff, including trainers and instructors;
  • Professional relationship building and communication with internal and external departments (both on and off campus), and
  • Working with common Recreation programming software, Excel worksheets, and project management apps.

DESCRIPTION OF DUTIES
Assist with the planning, scheduling, implementation, and delivery of a diverse and innovative range of programming:
a)

Facilitating Free Week programming, which includes:
assisting with and briefing other student staff on sign-in procedures, and logging attendance numbers for over 70 classes;
b) Organizing and auditing programming details of fitness classes in the upcoming term, for example, instructor's availability, class schedule, class description, and pricing;
c) Managing and administering the Personal Training program, which includes personal trainer recruitment and onboarding, assigning clients to trainers and client relationship management;
d) Organizing private programs for campus partners, which includes managing studio bookings, assigning instructors, issuing invoices and contracts, and maintaining online registration;
e) Offering a diversity of outdoor programming through relationships with external partners and administering partnership agreement with existing service providers in specialized outdoor activity areas;
f) Making adjustments to complement existing facility programming, while addressing community needs and feedback.

Assist with structuring and delivering a range of youth camp offerings during summer break:
a) Design camps according to age range and fitness levels;
b) Research and evaluate options that will meet community needs;
c) Ensure adherence to the standards established by the camps office.

Administer aspects of program administration and program delivery including:
a) Program registration, program sign-in, course attendance, refunds and withdrawals;
b) Waiver and consent form administration, collection and tracking;
c) Program and instructor evaluation and assessment;
d) Collect statistics and data on program activities and suggest changes accordingly;
e) Assist in the recruitment, hiring, training, and managing of a team of qualified, certified program instructors, leaders and personal trainers.

Marketing and Communications in conjunction with the Marketing team:
a) Assist with program promotion by sharing ideas and contributing to the execution of campaigns;
b) Evaluate the effectiveness of promotional campaigns and make future recommendations in coordination with UCB Recreation's staff team.


Other:
a) Assist in the developing, implementing, monitoring, and evaluation of departmental policies and procedures;
b) Serve as a leader, mentor and role model in the University community.
