Position Summary:


Provide the integration of McGill's values, standards, and goals with respect to student life and learning into University policies, operations and procedures.

Ease students' integration into University life, support students' learning and guide them towards a rewarding student life experience by offering a broad range of services in a supportive environment.

Provide student admissions and enrolment services for undergraduate and graduate programs. Participate in student recruitment fairs, student exchange programs, convocation and graduation activities. Oversee government reporting and compliance.

Offer a variety of student services including career planning, campus life and engagement, scholarships and student aid, counselling and tutorial, health and mental health, international student services, immigration, services for students with disabilities, religious life, and other programs.

Offer student affairs services including advising, student records, registration and exam and invigilation activities. Offer programs related to athletics and recreation.


Primary Responsibilities:

  • Manages activities for prospective/current undergraduate, graduate students, research trainees and postdoctoral fellows regarding admission, registration, program/course requirements, examination process, mark submission approvals, graduation, regulations/policies, fellowships and awards, student exchange/study away, and Inter-University Transfers (IUT), class scheduling.
  • Supervises and coordinates with the Student Affairs Administrator. Acts as local manager for departmental office staff (including Administrative Coordinators), under the Department chair. Facilitate and develop weekly meetings to keep team abreast in the daytoday operation of the unit.
  • Participates in the development and oversees implementation of policies and new initiatives that support the strategic direction of the unit; provides guidance on academic issues to facilitate the pursuit of academic goals to ensure that students fully benefit from their student experience. Advises on complex issues.
  • Participates on several Departmental committees, provides professional expertise to working groups and committees, supports committee Chairs. Makes recommendations on solutions when appropriate; ensures efficient and effective implementation and execution in policy change and new initiatives through management of resources and continuous improvement.
  • Provides professional advice and judgment regarding conflict resolution between students and supervisors, guiding student to appropriate resources or escalating to the Graduate Program Director (GPD) or Chair when appropriate.
  • Advisor for undergraduate and graduate students; provide individual and group advising for students on academic issues and career options; counsels students on study and/or student related personal difficulties.
  • Evaluates student records of graduating students with regard to course and program requirements for graduation. Approves and recommends students for graduation to the Faculty of Medicine and Health Sciences and to the Faculty of Science. Selects and makes recommendation for convocation awards.
  • Authorizes all grade changes on behalf of the Department. Administers examination process for courses and is responsible for ensuring marks are submitted to the appropriate Faculties (Medicine, Science and Graduate Studies).
  • Together with the Department curriculum committee chair and GPD, administers all departmental graduate research courses, Departmental Honours program. Evaluates student records for eligibility qualification for admissions to programs.
  • Reviews and edits university calendars for undergraduate and graduate departmental programs with other faculties. Represents the Department at network groups and academic Faculty of Science, and FMHS advisors cluster groups; discusses issues/procedures and new initiatives.
  • Makes recommendations and advises on solutions when appropriate; ensures efficient and effective implementation and execution of policy changes and new initiatives through management of resources and continuous improvement.
  • Participates in the development and oversees implementation of policies and new initiatives that support the strategic direction of the unit.
  • Responsible for Departmental communications: review and update the undergraduate calendar, the website, the undergraduate handbook and timetabling (using the DCU system). Communication to
- and from Graduate and Undergraduate students associations.
