ORGANIZATION BACKGROUND:


Holland Christian Homes consists of 6 Independent/Assisted Living Towers as well as Faith Manor and Grace Manor which are private, non-profit Christian Long-Term Care facilities situated in the City of Brampton.

Position Summary
This position reports to Director of Tenant Care. Provide administrative duties and support to the Director of Tenant care and operations of the Towers Nursing Office. Complete duties in an accurate and timely manner. Customer service for tenants with inquiries or concerns.


Major duties and responsibilities include:


  • Responsible for all TNO's scheduling of staff that also includes sick calls, vacation requests & other requests for time off, i.e. appointments. Reviewing hours for payroll purposes with confirmation of finger scans.
  • Make sure staff has office supplies to perform their duties. Ordering supplies when needed. Answering switchboard calls as needed for front Receptionist. Checking the wireless and walkietalkie phones & batteries that they are charging properly for daily 24 hr. operation. Submit any Request for Repairs or cleaning requests for the office. Check that the vaccine fridge temperature is within limits.
  • Input new tenants' demographic information into Point Click Care.
  • Maintain current spreadsheet with tenants on Medication Assistance Program and send to Accounting Department at the end of each month.
  • Print Death notices and post in TNO office or send to other departments electronically as required.
  • Distributing faxes that come through for tenants and frequently residents. Occasionally calling specialist offices to redirect information they have incorrectly faxed to the Towers.
  • Sends new job posting requisitions to HR department for new postings for TNO
  • Day to day operations to keep the office flowing.
  • Staffing overtime discussed before proceeding. Any modifications outside of routine. Anything new that has not been discussed.
  • Performs other duties and responsibilities as assigned by the direct supervisor

Qualifications:


  • Completed diploma in Medical Administrative Office from a community college is an asset
  • Intermediate Computer literacy (i.e. data entry, Microsoft office programs)
  • Knowledge of Staff Schedule Care
  • Knowledge in Point Click Care
  • Ability to demonstrate diplomacy and professionalism when working with families and other professionals.
  • Exceptional interpersonal and customer service skills
  • Demonstrated success in communicating with all levels of the organization that includes; communicating effectively with staff, tenants, families/visitors delivery/service personnel and the general public.
  • Excellent problem solving, conflict resolution, and decisionmaking skills.
  • Good judgment skills and the ability to handle and maintain confidential information
  • Ability to multitask and prioritize workload.
  • Ability to work independently as well as function as part of a multidisciplinary team.
  • Ability to be proactive and take initiative where required.
  • Ability to focus on assigned tasks

  • Ability to effectively handle multiple tasks simultaneously
  • Ability to work under conditions of frequent interruption, being undisturbed by the complexities and variety of minute details.
  • Demonstrated ability to observe boundaries, engage in appropriate emotional regulation, refrain from dual relationships with tenants, maintain confidentiality, and engage in reasonable selfcare strategies designed to reduce stress by balancing work/life responsibilities.
  • Ability to read, write, and speak English.
  • A satisfactory and current Vulnerable Sector Screening.
  • Evidence of a negative 2 step TB Test, full COVID19 vaccination and up to date immunizations including Flu Shot (unless medically exempt)

Salary:
$17.69-$28.56 per hour

  • Bachelor's Degree (preferred)

Experience:

Medical Administrative: 1 year (preferred)
