To provide administrative support to the Project team.
Responsibilities:
- Coordinate the tender process for new projects including; preparation of proposals according to company style guidelines, word processing, document formatting, following up on outstanding requirements, proofreading (one word), document presentation including binding;
- Liaise with Senior Project Manager and other staff to obtain information for special projects;
- Source internal and external documents;
- Maintain confidential records and filing of reports, correspondence, statistics and related material for ease of retrieval;
- Coordinate meetings including sending calendar invites, booking meeting rooms and equipment, as well as catering (if required)
- Prepare and distribute meeting agendas and minutes;
- Project reporting;
- Coordinate travel arrangements for project staff;
- Use automated office systems to facilitate project research and meet work deadlines;
- Maintain vacation schedule;
- Daily back up coverage for receptionist;
- Filing both hard and soft copies, maintain a register for easy reference.
What you will bring
Technical and Industry Experience:
- Proficiency in MS Office Suite
Word - Advanced, Excel - Advanced, Visio & PowerPoint - Intermediate;
- Typing speed of at least 50 wpm;
- Strong communication skills, in particular written communication and grammar;
- Be flexible to work on a wide variety of projects, tasks and assignments, combined with changing prioritization;
- Well organized with the ability to keep a multitude of tasks, documents and processes in an organized system;
- Previous experience in an Engineering environment will be highly regarded;
- Written/oral communication skills in French would be an asset.
- Willing to work overtime to meet project deadlines
Education - Qualifications, Accreditation, Training:

Required:
- Minimum 5 years experience as an Administrative Assistant
Preferred:
- Ideally with a background in tendering
