Administrator, Document Management Centre


What is the opportunity?


In this role, you will be responsible for determining the appropriate handling of all incoming mail, faxes and courier packages for the assigned business and subsequent processing of the materials.

You will specifically be assigned to Shareholder Services which is responsible for maintaining the records for investors of over 90 investment and insurance companies.


What will you do?

  • Be proficient in recognizing all pension and trade related documentation as it relates to pension / fund processing including but not restricted to: pension refunds, new account set ups, buys/sells/switches/transfers/rollovers/systematic plans, nonfinancial and estate documentation.
  • Become familiar with 90+ fund companies in order to assist in the indexing of the incoming documentation.
  • Recognize, index and push the document out to the workflow tool in a timely and accurate manner, ensuring the processor receives accurate information.
  • Manage incoming cheques or cheque distribution process
  • Research, recommend and implement efficiencies which will improve workflow or processes within the team.
  • As assigned, provide timely and accurate statistical reporting on image and workflow volumes and other statistics.
  • Work closely with assigned business units to be aware of any changes to the processes which have an impact in the processing and delivery of documents, images or cheques.

What do you need to succeed?

Must-have:


  • University Degree / College Diploma
years Financial industry working experience

  • Strong organizational and time management skills
  • Excellent communication skills written and oral
  • Knowledge of mutual fund / segregated fund transaction processing
  • Knowledge of the fund and custody Industry
  • Experience with Scanning technology
  • Knowledge of document retention procedures and standards
