TERM/STATUS:
Permanent Full Time
SCHEDULE/HRS:
Monday to Friday 8:30 - 16:00 // 37.5 hours per week
HOURLY WAGE:
$21.22 as per collective agreement (To be adjusted to $24.25
pending funding from the new Collective Agreement)
PERFORMANCE RESPONSIBILITIES:
- Word processing, document management/filing (electronic/hardcopy), and document distribution upon request
- Data organization/entry, including creation of autopopulating data spreadsheets
- Assist with creation of digital and paper surveys, including distribution, collection of data, and preparation for analysis
- Maintain resource library catalogue, distribution, and tracking systems, including filling requests for resources from the resource library
- Assist with inventory, tracking, and digital administrative management of iPads and other technologies
- Receiving, inventorying, organizing, and preparing new resources for distribution
- Administrative intake, file creation, and document preparation for departmental consult requests
- Maintain waitlists for AT services, including monitoring wait times and scheduling meetings as needed
- Update and maintain records of departmental projects using digital management software
- Other duties as assigned
REQUIREMENTS:
Education - Required
- Grade 12, plus completion of at least one year in secretarial training, business, or office administration
Experience - Required
- Minimum two years of administrative experience
- Proficient in Ms Office Suite, Adobe Suite, and accurate typing skill: 60 wpm
- Work experience related to job responsibilities
Experience - Preferred
- Experience with organizational systems setup and maintenance
- Experience with digital/electronic file and project management systems
- Basic familiarity with iPad technology
Skills/Abilities -Required
- Excellent verbal and written communication skills
- Effective in organization and planning skills
- Proficiency working with a variety of office equipment
- Ability to maintain confidentiality
- Strong interpersonal skills
- Ability to learn and quickly adapt to new technologies
- Strong time management skills, ability to work independently, set priorities and work to deadlines
