Office Coordinator / Administrator – 6 Month + Contract – Toronto, ON Main Accountabilities The incumbent is responsible for processing complex transfer requests in order to ensure that all assets being received are processed within set SLA standards. The incumbent must be able to identify ATON and NON-ATON transfers and initiate them accordingly. Specifically, you will: •Initiate the process of transfers on IBM/OSS, ensuring accurate execution of instructions from transfer documents to electronic messaging.•Meticulous attention to detail when initiating transfers so that transfer instructions are input to the systems (OSS/AS400/CDS) accurately.•Manage different transfer initiation mailboxes and initiate transfers received in a timely manner to meet our SLA of 24 hours.•Communicate with our clients when transfers submitted are NIGO (not in good order) and memo accounts with reasons for rejections.•Reconcile accounts transfers on a daily basis.•Email or call relinquishing institutions up to 60 times per day to investigate transfer status.•Review rejected transfers and re-submit them in good order.•Process journals (Cash & Securities).•Process Mutual Fund POA’s with setup blotters and submit mutual fund transfers on Mutual Fund Order Entry System on IBM/AS400.•Interact with clients on an ongoing basis to resolve any outstanding issues related to Account transitioning.•Support Implementation Consultant to ensure timely transfers of client accounts.•Enhance the client experience by effectively exceeding expectations and seek ongoing improvements to the implementation process.•Collaborate with various partners to ensure timely client account transitioning.•Complete other responsibilities, as assigned.•Generate scheduled and ad-hoc reporting for internal and external requirements.•Meet with clients to discuss transfer process and requirements, if needed. Qualifications & Other requirements•Post secondary education with 2-3 years relevant experience.•Self starter requiring limited supervision that acts as a resource to colleagues within the organization.•Be adaptable in a fast-paced, deadline-driven multi-faceted environment.•Proficient with Outlook, Microsoft office (Excel, Word, PowerPoint).•Experience with VBA Scripts and Macros is preferred.•Strong team player and well organized.•Excellent verbal and written communication skills.•Knowledge of IBM-OSS & AS400 CDS/ARROW and FUNDSERV would be an asset.•Candidates with relevant work experience are preferred.•Overtime maybe required during high volume periods.•French is a plus•Position is remote•Work schedule: 37.5 hours per week, 9AM-5PM
