Our government client is seeking a Senior Administrative Assistant to work full-time on contract from April until end of December, 2021. Roles and Responsibilities Procurement Tasks:1- Receive new Contract Approval Forms (CAFs) sent to Procurement inbox, Task Authorizations (TAs) and Amendment requests;2- Log new CAFs, TAs and Amendments in the Procurement Logbook;3- Save CAFs, TAs and Amendments in RDIMS (Filing software);4- Send email to acknowledge receipt of the CAF to the Project Authority;5- In response to client inquiries, find out the Contracting Authority (CA) of the existing contract/TA, forward it to the CA, who will answer the client directly; 6- Record files allocated and update contract log, then email client to inform them who the contracting authority if for their request and cc that buyer;7- Prepare and attend virtual or conference meetings occur every second Friday;8- Prepare and attend virtual or conference Weekly Procurement meetings;9- Send letters to update the PAs on file and inform them about the new assigned buyer who will be responsible for their requirements;10- Process invoices submitted to SAP team and to the Accounting and Procurement services;11- Monitor the Procurement mail inbox and respond to clients or forward their queries to buyer or the team leader;12- Send request to RECORDS team to create new RDIMS folders.13- Inform RECORDS to update folders names.14- Respond and grant RDIMS access to the CER clients who send requests for RDIMS access on contracts.15- Create and fix the Procurement Activity Report and vacation log. 16- Create, log and monitor the invoice tracking sheets.HRG Travel:1- Raise Travel Requests in HRG travel system;2- Prepare Travel Expense Reports in HRG;3- Respond to clients’ inquiries on the submitted Travel Expense Claims.Invoice Processing and Financial Forecasting:1- Prepare invoices for Director’s approval2- Enter and update commitments in FreeBalance financial system. Qualifications and Experience 1-2 years of previous administrative experience in a government setting would be ideal;Valid Reliability security clearance is required;Able to work 8:30-4:30pm MDT Monday to Friday except statutory holidays. Education and CertificationsPreferred field of study: Office Administration
