You will be working with some of the best and brightest minds which takes skill, enthusiasm, and attention to detail.The Role In this role you will be providing administrative support to three world-leading scientists, splitting your time approximately 50%/40%/10%. Primarily, you will coordinate a set of complex and ever-changing diaries, organise meetings in line with the business priorities, manage travel, and handle multiple priorities in a fast-paced and evolving environment. You will develop solutions, fill gaps, anticipate the needs of your Principals, and exercise judgement. You will need to be committed and stay on top of things at all times.You will join a close knit team of highly committed, passionate, and collaborative people within the Management Support Team and wider Operations Team. The connections you build and relationships you foster will be key to the success of this role.Each day in this role is different; in addition to adapting to constantly changing, sometimes conflicting priorities, you will need to deliver against a core set of critical tasks:Key ResponsibilitiesOptimize your Principals’ time and reduce stressors: manage complex calendars, including critical meetings, conference calls, travel, and appointments across numerous time zones, organizations, and on behalf of multiple people.Compile and prepare meeting materials, agendas, equipment and resources in advance of meetings, ensuring your Principals are preparedRecord, track, and communicate any follow-up or actions for meetings involving your PrincipalsHaving a clear comprehension of your Principals’ stakeholders; ensuring that they are meeting with these stakeholders and their large number of direct reports with the agreed cadenceWelcome guests and ensure they have a great visitors experience - ensuring room set-up, providing an office tour and offering refreshmentsIndependently research, prioritise, and follow up on multiple incoming requests addressed to the local leadership team, including those of a sensitive and/or confidential nature, and determine appropriate course of action, referral, or responseArrange frequent domestic and international travel, ensuring a smooth door to door service with clear and detailed travel itineraries for conferences, external speaking engagements, and international offices; some travel with the Principals may be required infrequentlyWork with local partners to arrange key business and team events e.g. off-sites, lunches, talks, seminars, visitors Prepare and update presentations for internal and external talks and eventsAct as a point of contact and an ambassador for DeepMind, dealing with incoming requests and heavy email correspondenceUndertake financial administration (e.g. manage expenses, approve expense claims and purchase order requests) Proactively support the team with general administrative tasks; supporting with ad-hoc projects and proactively suggesting ideas to grow efficiencies Collaborate to develop all administration and operational processes: evaluating, re-designing, and implementing changes for continuous improvementBuild and maintain effective working relationships with international colleagues, including the People Operations team, Communications and Public Engagement, Legal, Finance, and FacilitiesThis is a career-defining role and you should be ready to participate in a long term mission.
