Program Secretary, Systemic Therapy CSI CNBC Cancer, Kelowna Are you an organised person with effective administration and calendar management skills? The Program Secretary, Systemic Therapy provides secretarial and administrative support to the Professional Practice Leader of Medical Oncology and the Regional Systemic program physicians to ensure that program initiatives and responsibilities are carried out in an efficient and timely manner. What you’ll do Type items such as correspondence, proposals, research projects and other documents using word processing software.Review outgoing correspondence to ensure completeness and accuracy in grammar, format and style. Draft routine correspondence for signatureSchedule and arrange internal and external meetings, and prepare and distribute meeting materials and agendas. Act as recording secretary for a variety of committees. Record, prepare and distribute minutes, and initiate action items as appropriate.Maintain appointment calendar by scheduling meetings and appointments and making adjustments as required.Prepare a variety of presentations and sets up computerized files using computerized software packages such as spreadsheet and database programs as required.Initiate and maintain systems to support the program such as incident reporting and regional policies.Process incoming correspondence as assigned; attache related background materials and maintain follow up system to ensure follow up action or replies have taken place as needed.Maintain a confidential filing system, including bring forward function; identify issues requiring follow up by reviewing letters, correspondence and minutes as required.Perform a variety of administrative support functions such as collecting data and information, drafting reports and summarizing findings as directed and forwarding to appropriate people within the region.Compile and record statistical data such as workload and utilization statistics and assists in the preparation of documents for reporting at various forums and committees.Retrieve budget reports, identify discrepancies and forward to the Program Leaders for review, and gather and organize data related to program budget as directed by Leader.Develop and implement general office procedures and complete a variety of forms related to the administration of the office.Receive telephone calls for a variety of parties such as staff, external organizations and the public. Triage calls, researche and bring forward data and respond to call or re-directs as required.Make travel arrangements as required. Initiate travel cost reimbursements.Review program master card statement, identify account code and processes for approval and payment.Complete and maintain relevant time sheets and ensures the associated documentation is complete and submitted to Payroll. Assist with the physician call schedule and all on-call payment submissions.Perform other related duties as assigned What you bring Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription and three years recent related experience or an equivalent combination of education, training and experience.Ability to keyboard at 60 w.p.m.Ability to communicate both verbally and in writing.Ability to deal with others effectively.Ability to organize work.Ability to operate related equipment.Physical ability to carry out the duties of the position.
