This role requires a unique blend of skills and experience providing general and administrative support to the Legal Services department. The role requires a confident, reliable and business-minded assistant with the ability to manage multiple tasks and adapt to changing priorities. The successful candidate will be organized, discreet, detail-oriented, and have a results-based approach to work. In addition, the successful applicant must be team-oriented and accustomed to working with other assistants and cross-functional teams. Legal Services oversees a wide variety of legal and business responsibilities within the organization. This includes the preparation and review of legal documents and contracts, as well as legal research. RESPONSIBILITIESEnsure contracts are written and executed in accordance to the Company's standard operating proceduresOpening, maintaining, organizing and putting away files, and maintaining precedent systems using the department protocol for knowledge managementWorking with other related departments internally to provide documents and other materials on time to meet internal client needsDrafting, preparing and proofreading correspondence, accounts and various transactional documents and formsArrange appointmentsEmail, courier or deliver documents to clients, accountants or lawyersProduce a variety of documents including correspondence, memos, meeting agendas, reports, contracts, change ordersInvestigate, gather and compile information on issues and draft reports outlining alternative options and recommendations and assistance in implementation of identified solutionsStrict adherence to confidentiality REQUIREMENTSPost-secondary education in business or related discipline. Legal Administration and/or Law Clerk Diploma preferred.Four years in a legal environment with working knowledge of corporate law; preference will be given to previous experience gained within a large firm environment or in-house legal department.Excellent technical proficiency in Microsoft Office applications.Strong knowledge of legal concepts, principles, and terminology.Critical thinking, analysis, and research skills are essential.Ability to read, interpret and apply legal documentation, laws or legislation.Strong sense of ethics and the ability to handle sensitive or private information with tact and discretion; knowledge of data privacy laws.Strong grammatical skills, including punctuation and proofreading, attention to detail and accuracy are a must.Superior interpersonal skills to interact with employees, attorneys, clients, departments, and external agencies.Good research skills on the Internet and traditional sources of information.High level of sound and independent judgment, reasoning, and diplomacy.Able to maintain filing systems and basic databases.Meticulous records maintenance skills.Strong customer service orientation.
