Program Assistant (1 Part Time)

The Middlesex-London Health Unit has an exciting vacancy for a part
- time Program Assistant to work on the Early Years Community Health Promotion team in the Healthy Start division at the Citi Plaza location, London Ontario.


KEY RESPONSIBILITIES:


  • Provide administrative support for the Early Years Community Health Promotion Team
  • Preparation for meetings, prepare agendas, and take meeting minutes
  • Scheduling and booking meetings
  • Format and prepare key documents, reports, and letters, and handle mail
  • Maintain data bases and checklists and run routine reports
  • Schedule and send infant feeding surveillance welcome letters, reminders, and conduct the administration of surveys online, and over the phone with clients
  • Prepare large mailouts and workshop packages (hard copy and electronic)
  • Order necessary supplies, maintain inventories, resources, mailing lists and key contacts
  • Maintain accurate shadow budget Reconcile credit card statements and process invoices
  • Be responsible for filing, record keeping, and document management
  • Input key statistical information on specific Ministry software programs and provide data entry
  • Perform other duties as assigned

QUALIFICATIONS:


  • Postsecondary program in administrative studies of at least one year
  • Strong interpersonal and communication skills in order to provide excellent service and work effectively with team members
  • Skills and knowledge to work with an increasingly diverse population, has knowledge of health inequities.
  • Skills and experience in supporting teams and managers, including taking initiative
  • Ability to manage and prioritize multiple tasks while keeping programming on track
  • Demonstrated ability to prepare comprehensive and accurate meeting minutes
  • Excellent knowledge of scheduling and communication software
  • Experience and expertise with Ministry databases (i.e., ISCIS)
  • Demonstrated commitment to contributing to a positive workplace environment
  • Ability to work flexible hours
  • Communication proficiency (written and verbal) in French and/or any other language is considered an asset
The hourly wage for this position ranges from $23.92 to $29.90 based on qualifications and experience.
