We're searching for a diligent Chief of Staff to provide direct support to the CEO.

As Chief of Staff, you will use strong leadership and problem-solving skills to assist with the daily operation of the organization.

You'll be responsible for responding to all complaints and questions in a friendly and timely manner, implementing office standards to streamline our processes, scheduling appointments, and company trips, ordering office equipment, and marketing our brand through community events and print and digital mediums.

Compensation:


  • Salary Range: $65,000 $80,000

Responsibilities:


  • Connect with our customer base and raise brand visibility by coordinating community events
  • Produce progress reports and present to the team on a regular basis
  • Strengthen existing abilities and gain new ones by participating in training opportunities
  • Assisting and supporting the owner in all business and personal areas needing assistance
  • Manage and own CEO's calendar schedule appointments with clients, partners, and vendors complete with all pertinent information related to the appointment
  • Managing Travel: Research into flights, hotels, transportation, restaurants, and activities; making recommendations, creating trip itineraries and information packets, as well as managing the trip from the main office. (occasional travel will be required)
  • Handling requests and queries appropriately
  • Scheduling meetings and appointments, preparing the Agenda before meetings and follow up items after the meeting
  • Maintaining database management system(s)
  • Producing reports, presentations and briefs
  • Representing the CEO and the company when dealing with third parties
  • Schedule Podcast recordings and coordinate with guests
  • Preparing CMA's, updating the contact database as needed, updating and maintaining listing materials/buyer materials, and preparing prelisting packages/buyer consultations
  • Assist in preparing listing materials: prelisting package, listing contract, seller disclosures, comparative market analysis, pull online property profiles, research old multiple listing service (MLS) listings, etc.
  • Submit all necessary documentation to the broker conveyancing office for file compliance
  • Scheduling all showings and handling all things buyer related including attending inspections, walkthroughs, and closings as needed
  • Manage mail, packages, phone calls and other forms of correspondence
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures including buying and maintaining office equipment
  • Facilitate, coordinate, and attend training
  • Running errands, following up on whatever is needed & doing some "dirty work" might be necessary at times

Qualifications:


  • History of being deadlinedriven and extremely organized
  • Shows great interpersonal skills and excellent written communication
  • Extensive calendar management and complex scheduling. Outstanding organization
  • Strong attention to detail
  • Extensive travel planning and travel management (domestic & international)
  • Able to multitask and prioritize daily workload can work on multiple projects at once
  • Independent worker to support a team and appropriately manage time
  • Can anticipate the needs of the CEO
  • Strong problemsolving abilities
  • Highly resourceful in finding solutions to complex problems
  • Customer service focus
  • Office administration procedures
  • Must be a selfstarter with a growth mindset and desire to contribute to the growth of the company

  • This person must have a CAN and WILL DO attitude. This person will do anything and everything they need to in order to free the CEO up to sell/network
