About the Role:
Reporting to the Human Resources Manager, Attraction, Retention & Rewards, the HR Assistant, is an integral team member of Human Resources.
The HR Assistant will provide essential administrative support to the Attraction, Retention & Rewards team which includes activities associated with recruitment & onboarding, learning & development, and special projects.
Responsibilities:
Talent Acquisition Administrative Support
- Provide administrative support to the Talent Acquisition Team including responding to inquiries, assisting with scheduling meetings and interviews, if required, ensuring proper documentation management for recruitment files and preparing new hire information for HR Operations
- Ensure the process for the generation of casual contracts is maintained and implemented in line with payroll deadlines
- Assist in the administration of relocation expense claims and external job postings
- Assist with the preparation of the new hire orientations and career fairs
- Provide back up as needed to Talent Acquisition Associates on recruitment processes, including postings and resume management, and external job posting requests
- Revise templates and TA documentation, as requested
- Coordinate training events including providing information to participants, booking spaces and coordinating logistics, as requested
- Maintain and updated Talent Development tracking spreadsheets.
- Provide back up in monitoring and responding to inquiries for the Talent Development Team
- Provide back up as needed to Talent Development Advisor
- Review and revise talent development templates and information as needed.
- Provide administrative support for special HR projects, as needed, working with all members of the HR team to ensure HR workflows and processes are properly executed.
- Provide back up support to the HR Administrative Assistant, as needed, including front desk reception support, monitoring and triaging inquiries from staff and external individuals or groups
- Document management support understand the HR file management process and ensure filing is in accordance with records retention schedule and privacy requirements
Qualifications:
Education
- Diploma or certificate in human resources
Experience:
- 12 years of relevant experience
- Excellent MS Office, Adobe & Google Suite skills; ability to update the HR website is an asset
- Excellent customer service skills with the ability to handle conflict situations in a professional manner
- Strong attention to detail and accuracy
- Strong organizational skills, with ability to independently manage workload
- Flexible and adaptable work approach, with an ability to take initiative and multitask
- Strong team member
- Ability to work effectively and independently in a fastpaced environment
