The OpportunityMcElhanney is seeking a professional and dynamic individual to join our Marketing & Communications team as our company's dedicated Event Coordinator, supporting our senior executive leaders, business support services team (Marketing, Human Resources, Business Technology, Accounting, Legal, Corporate Administration), and operational branches with their event planning needs.
As an experienced event coordinator, you will lead companywide and association events, group meetings, and conferences.You are a highly organized, tech-savvy, proactive professional who can work independently and alongside a team of other passionate administrators and engaged marketing professionals.
This role is ideal for you if you have a passion for organizing a large number of meetings, conferences, and internal and external events throughout the year.
What You'll Be Doing
Event planning and coordination support for the Executive Team, Business Support Services Managers, and operational Branches:
Plan, organize, and execute various events from internal meetings and training programs to parties and conferences including external events
Demonstrated ability to anticipate event and project needs, discern work priorities, and meet deadlines with little supervision
Coordinate with internal stakeholders to understand the purpose, goals, and target audience of each event, serve as liaison throughout the planning process, and measure results
Manage and oversee all aspects of event planning, execution, and wrap up, including venue RFPs and reviews, IT logistics and set up for virtual and/or in person hosting and participation, ordering supplies, gifts, and promotional items, communications, branding, catering, entertainment, travel, and accommodation arrangements.
Coordinate with key team members through all phases of each event. You will own this event from beginning to end.Nurture and build relationships with vendors and venues to create effective and successful experiences for participants.
Oversee all event logistics, serving as the primary point of contact, troubleshooting, and handling any issues that arise on event day - proactively identifying and solving operational challenges - and carry out pre-event on site set-up and post-event on site tear-down
Negotiate and administer venue and vendor contracts and budgets, maintain event budget, expenditures, and forecasting, and secure venues and supplies
Connect with participants to gather information for an event including travel, hotel stay, activities and sessions through written and verbal communications, and produce accurate and complete records including room lists, activities, and other information
What You'll Bring
Completion of marketing, business, hospitality, or related post-secondary education
At least 5 years' experience in hybrid and in-person event management/coordination with a track record of successful events
Self-starter with a proven ability to manage multiple projects/tasks and work assignments simultaneously for various events
Tech-savvy to respond to hybrid meeting needs. Must demonstrate an ability to set up equipment as needed and troubleshoot issues onsite as needs evolve
Advanced proficiency with MS Office 365, and above average knowledge of Database Management, Microsoft Teams, SharePoint, Adobe Acrobat
Exceptional interpersonal, customer service, and communication skills (written and verbal), and proven success in working collaboratively with staff at all levels, comfortable advising and guiding event stakeholders
Excellent organizational skills, time management, and meticulous attention to detail
Creative and critical thinking as well as proven problem-solving skills
Solid business acumen, confidence, and ability to anticipate event needs
Excellent financial management skills
