Position Overview


The Project Coordinator Supervisor's responsibilities include working closely with Project Coordinators and Manager to implement processes and KPI focusing on quality, efficiency, and consistency throughout the Project Management Team.

The Supervisor will be responsible for providing leadership and training, assisting with recruitment and onboarding of new Project Coordinators, as well as completing employee reviews.

You will perform various coordinating tasks, like schedule and risk management, along with administrative duties.

To succeed in this role, you should have excellent time management and communication skills, as you'll collaborate with clients and internal teams to deliver results on deadlines.


Duties and Responsibilities

  • Leadership_
  • Supervises and reviews the work of all Project Coordinators ensuring quality and efficiency
  • Develops and provides training to all Project Coordinators, to create department consistencies
  • Performs annual staff performance management and reviews Performance Development plans in conjunction with the Project Manager
  • Liaises with clients to investigate and resolve client queries
  • Assist with scheduling and approving vacation request
  • Develop department KPI and reporting initiatives
  • Deliver exceptional customer service to insurance stakeholders, homeowners and property managers. Be proactive in resolving customer service issues
  • Maintain required administrative and production workflow status dates & notes in online communication platforms
  • Coordinate work authorization document sign off as required
  • Issue RFQs to subtrades
  • Enter and upload required file documents into online communication platforms as directed by Project Manager/Site Supervisor
  • Health and Safety_
  • Ensure that self and others adhere to Canstar's health and safety practices and procedures
  • Ensure good housekeeping is kept to perform work safely and efficiently
  • Understand safety policies and protocols
  • Ensure that self and others on site are wearing all required PPE, when required

  • Strong computer skills including Microsoft Office suite (Outlook, Word, Excel) with the ability to accurately type 40 words per minute
  • Exceptional customer service and interpersonal skills
  • Ability to multitask in a fastpaced environment and prioritize in an ever changing environment
  • Ability to resolve conflict, prioritize and remain calm in highstress situations
  • Ability to use strong coordination and computer skills to maintain ongoing communications with property owners, the project management team, inhouse departments and subtrades to ensure efficient job progress and completion
  • Ability to think critically and exercise good judgement

Qualifications and Experience

  • 35 years of experience in a fastpaced administrative role is essential
  • 35 years of experience working in either construction, restoration, property management/strata or insurance preferred
  • Strong computer skills including Microsoft suite (Outlook, Word, Excel)
  • The ability to accurately type 40 words per minute
  • Strong administrative and clerical skills
  • Strong customer service skills
  • Ability to multitask and prioritize in an everchanging environment

Working Conditions

  • This position is based out of the Coquitlam office
  • Travel to other Canstar branches may be required periodically


  • Monday

  • Friday, daytime hours 7:30 am to 4:00 pm. Occasional overtime is required
