    As a result of the COVID-19 pandemic and the need to strengthen and promote health protection to patients, staff and members of the public attending in the hospital, prior to the first day of employment with the Hospital, all successful candidates are required to provide proof of COVID-19 vaccination (full vaccination is required) from the Ontario Ministry of Health website or other authorized source. An individual is fully vaccinated if they have provided proof of vaccination in the form of a receipt from COVaxON (the Ministry's provincial system for COVID-19 vaccination information) and 14 days have elapsed from the final dose. In the event that you are unable to be vaccinated as a result of a ground protected under the Human Rights Code, you may submit a written explanation of the ground and any supporting documentation to determine if you are exempt from this requirement.

    Position Summary

    Administrative Assistant, Business Intelligence
    As the Business Intelligence Administration Assistant, your primary responsibility is to provide comprehensive administrative and clerical support to both the Business Intelligence and HIM Administration departments.     Proficiency in various computer software and applications is essential, enabling you to navigate tasks efficiently and contribute to the smooth operation of departmental functions.     With accurate keyboarding, word processing, and minute-taking skills, you provide invaluable support in documenting and disseminating critical information.     On a practical level, you will

  • Provide specialized administrative support using demonstrated judgement, initiative, and independence to assist the Program Director and Managers in achieving program and organizational objectives.
  • Provide secretarial support to the Department of Business Intelligence and HIM administration.
  • Support the coordination of events where required, specifically around Accreditation, and the Data & Analytics Strategy.
  • Provide administrative support in the coordination of the Data and Analytics Advisory Forum, Stewardship Council and subsequent working groups, including the arrangement and preparation of materials for department meetings, including agendas, presentations, and minutes.
  • Coordinate efforts across multi-functional/program teams to ensure timely delivery of necessary material.
  • Effectively manage and respond to information and/or document requests.
  • Comply and disseminate material/documents related to programs activities.
  • Manage confidential information in a sensitive and professional manner.
  • Serve as a point of contact for internal and external stakeholders, including responding to emails, and directing inquiries to the appropriate team members.
  • Comply with Occupational Health and Safety Standards
  • Coordinate and plan meetings including preparation and documentation of agendas, minutes (meeting attendance required), work plans and project charters and the room setup (IT, computer, etc.)
  • Payroll entries
  • Develop reports and PowerPoint presentations as required.
  • Utilize standard office equipment and order routine supplies.
  • Report on attendance.
  • Perform other duties as assigned.
  • Qualifications

  • Undergraduate degree preferred
  • Secretarial Courses or diploma or certificate in Office Administration
  • Recent Courses in Computer Applications, including Visio
  • Knowledge of office and management principles
  • Extensive calendar management experience
  • At least three years of administrative experience
  • At least 3 years of customer service experience and role, preferably in health care
  • Knowledge of digital and data services.
  • Bilingualism in French/English is an asset
