Manager of Executive Office - Edmonton, Canada - Alberta Association of Architects
2 weeks ago
Description
The AAA exists under provincial legislation to protect the public by ensuring only qualified professionals are permitted to practice as Registered Architects or Licensed Interior Designers in Alberta.
As administrators we collaborate with dedicated professionals who serve as stewards for the self-regulation of their professions.
Of course, as a regulatory body, we are about rules - rules that guide entry to practice, continuing competency, and when required, discipline of registrants.
We look for opportunities to support our registrants well beyond compliance and we help the public and other key stakeholders understand the value the professions bring to their project needs and ultimately their communities.
Our people
We are a mid-sized team of 17 people balancing a drive for continuous improvement with the need to deliver on our day-to-day obligations under our legislation and the professions that we serve.
Each team member brings their own unique skills and abilities and it's fair to say pretty much each one of us are high performers.
When we see opportunities for improvement we speak up and we roll up our sleeves to make things happen We welcome diversity on our team and continually strive to be mindful of diverse perspectives.
How we work
We have some big changes coming with modernized legislation on the horizon, and we are excited to be able to adapt our systems, processes and perspectives to meet the long-awaited changes to come
Like so many organizations these days, we have made a change in the way we work - we have embraced a flexible work model that allows for a hybrid of office and home work schedules.
We aim to keep our team connected with some important in-person face time yet recognize that quality work can also be done from home.
Although we are a small organization with a limited budget, we test our salaries against the market on a regular basis and aim to stay as competitive as we can.
As a full-time employee you will have access to a generous benefits package with superior base benefits, supplemented by a health care spending account, a flexible taxable spending account, and a matching RRSP program.
Your role
With the support of the Executive Assistant that reports to you, you will be responsible for providing comprehensive and strategic organizational, project and administrative support to the Executive Director, the Executive Officer of Corporate Services; and the Executive Officer of Regulatory Affairs (the "Executive Team").
This is a new position in the organization that has come about by a growing need for more comprehensive administrative support for a multitude of tasks, projects and strategic initiatives.
As the Manager of the Executive Office, you will keep us organized - sorting out what needs to be done when and by whom - so that we can stay on top of the myriad of tasks, big and small.
We will need you to handle many tactical tasks such as tracking annual timelines, handling meeting logistics, file management, processing expense claims, and taking meeting minutes.
There will also be opportunity to flex your strategic thinking skills to consider how we might be more effective in reaching our strategic objectives.
As our invaluable right-hand, you will also be our go-to person for project support where you will be able to take the lead on a variety of projects.
Using your people skills, project management skills and administrative know-how you will help us see opportunities for taking things to the next level.
About YOU
You are someone who thrives on creating order out of chaos. You are a person who is skilled at creating processes that run smoothly, and then keeps things humming along.
You're proud to be an unusual mix of being highly driven, taking full ownership of tasks, but not unduly seeking recognition for your efforts.
You are content to do a great job as the power behind a high functioning team.
As someone with outstanding diplomacy skills, you can adapt your communication and working styles to many different levels (up, down and across) to get things done.
Your project management skills allow you to look ahead to envision what is needed for the success of a project - all the steps as well as the desired outcomes and how they ultimately fit into a strategic plan.
You take pride in being an outstanding writer, able to toggle between formal and informal communication styles all while keeping grammar
