The Project Coordinator is responsible for assisting Project Managers in the lifecycle of projects, providing assistance with reporting as well as facilitating meetings and status updates.
Responsible for governance and support of the delivery processes.
This includes acting as primary liaison for support, providing domain expertise and encouraging continuous improvement of delivery processes and tools.
An important function for this role is also assisting and acting as back-up of the Reporting Solutions Specialist and Senior Process Analyst.
Key Accountabilities:
Support Head of PMO, Chapter Leads and Community of Practice Leads including setting up meetings, collecting meeting minutes, updating documentation and following up on action items.
Actively maintain the PMO Confluence spaces, PMO Google site and documentation to ensure information is relevant, up-to-date and accessible.
Periodically review existing Agile delivery processes, solicit feedback, carry out improvements and help implement them.
Periodically review Cluster and Squad Jira Projects and Confluence spaces to verify alignment to established processes and identify exceptions for the teams to address.
Upon request, train resources on Atlassian Suite (Jira and Confluence), Workday PPM, time tracking and pertinent delivery processes.
Maintain plan, policy and procedure documentation as requested by the PMO management team (e.g. BCP - Business Contingency Plan).
Develop and deliver on implementation and communications plans for new and changing procedures.
Act as liaison between auditors and scrum masters to address questions and requests for information during the annual audit.
Ensure PMO service levels are met (i.e. timely response to requests and inquiries sent to the group mailbox).
Own the development of internal processes to support the operations of the PMO as the need arises.
Act as project coordinator on projects as the need arises.
Support, prepare and execute events for the department.
Preparing necessary reports and presentations
Skills and Experience:
Must Have(s):
University/undergraduate degree in related field or equivalent Analyst experience within a PMO in the financial services industry
Minimum 3 years' experience within an Information Technology environment
Proven ability to balance contending or conflicting goals
Strong influencing, facilitation and negotiation skills
Strong problem solving and analytical skills to rapidly assess situations and develop alternate
solutions approaches vital to resolve high-level, complex problems
Ability to work independently or as a team on assignments, with tight schedules under mínimal direction
Highly analytical
Good attention to detail and strong organizational skills
Exceptional verbal, written, and presentation skills.
Exposure to Agile methodologies and Agile tools (e.g. JIRA, Confluence)
Competency in Google Suite (Docs, Sheets, Slides)
Knowledge of file management, transcription, and other administrative procedures.
Nice to Have(s):
CAPM or PMP certification or equivalent
Experience administrating Workday or an equivalent PPM tool
Experience using a scripting language (e.g. Google scripts)
Experience developing reports and using data visualization tools such as Google Data Studio, BIRT
Top requirements
PMLC experience - experience in IT Projects (understanding the project management lifecycle)
Technical skills - ability to learn scripting, preferably with experience with scripting or VBA macros; somebody who can script usually is good analytical skills and is a logical thinker
Personality fit - able to fit in with the team, able to adapt to different people and situations
