Description
We are looking for a new team member for our operations' documentation department to assist the team in daily work in the office involving systems work and file management, and both team and self-initiative work.
We are offering a full time job with flexible working hours. After a probationary period, we will require limited weekend hours (at a maximum of 4 hours per weekend) bit higher rate than normal pay, and reduced weekday hours, for a regular total of 40 hours per week. Weekend work will be remote.

Your duties will include:

Assembling information from Bills of Lading for incoming shipments before the vessel arrives;

Inquiring for and Receiving documentation from agents at the port of origin;

Working with existing AMS & ISF systems data and programs and make timely filings;

Inquiring for arrival information of upcoming cargo;

Working with industry systems to input data and create documents;

Creating Arrival Notices to inform consignees and brokers 5-10 days before vessel arrival;

Identifying the statuses of Master Bills of Lading and House Bills of Lading, and reminding contacts accordingly;

Creating different Invoices for customers, and Bills for carriers and vendors;

Understanding, creating, and working with Debit Notes and Credit Notes;

Inputting and updating the details for your team's shipments into internal tracking summary sheets.
Skills and Qualifications:

Strong team and self-initiative work skills

Dependable, deadline-oriented mindset

Sufficient computer literacy of Outlook, Excel, and basic office software; computer literacy in industry software such as Freightstream and AMS/ISF is a plus

Strong personal organization and scheduling skills
